  • Collaborate with the marketing team to design and execute marketing materials for events.
  • Support the CEO with various tasks, including securing guest speakers for podcasts and promoting volunteer and charity events.

Job description

This is a remote position.

HR1Systems is seeking an Event Planning Coordinator to manage internal and external (client) event planning, conferences and tradeshows.  S/he will support the CEO and the marketing team on the brand development, marketing strategies and public events coordination. As the Company exponentially grows, creativity and proactively supporting the strategic business development through maintaining marketing, conference and other public relations collaboration development.

 

Primary/Essential Duties and Key Responsibilities:

  • Managing CEO event planning calendar
  • Scheduling meetings as required
  • Event Planning: Researching, scheduling, organize and book, 6 annual events/conferences
  • Attend all conferences for pre-post setup/breakdown
  • Work with marketing to design and execute marketing material for various events/conferences
  • Research various industry local and national events/conferences for the CEO to attend as Guest Speaker, panelist, etc.
  • Support the marketing analyst with social media posts and reposts, etc.
  • Plan, design, coordinate, communicate and execute annual company retreat globally.
  • Search and secure new guest speakers for CEO podcast “When Worlds Unite: HR & AI” https://www.youtube.com/channel/UCYcSzFjLzNS0sCgCaB9JWVQ
  • Support the promotion and various activities such as all volunteer and charity events CEO attends.
  • Support the CEO on any, and all, other various assignments and tasks as needed.


Requirements
  • 3-5+ years managing event planning, executive assistance, preferably in human resources or related business industries.
  • Superior project and program planning skills with the ability to handle large workload under tight deadlines.
  • Excellent analytical, communication (verbal and written), organizational, time management, problem-solving, and decision-making skills, as well as, presentation skills
  • Ability to establish and maintain a high level of leadership confidence.
  • Solid time management skills, and the ability to multitask and manage multiple small to large projects/events.
  • Strong teamwork and interpersonal skills at all levels of management.
  • Require scheduling and moderately complex budgeting experience including tracking actuals against budget, estimate to complete (ETC) and estimate at complete (EAC)
  • Ability to set priorities, meet deadlines, and work independently
  • Ability to work in a fast-paced environment and handle multiple priorities
  • Motivated, self-directed, results-oriented, and customer-focused
  • Detail oriented and possess a desire for quality
  • Experience in managing distributed team members, as well as, work in a team environment
  • Some Travel domestic and international required (25- 50% annually)
