Job Description We are looking for experienced Healthcare Service Representatives to assist caregivers and clients/patients with inquiries, scheduling appointments, resolving issues, and ensuring a seamless experience. The ideal candidate is empathetic, detail-oriented, and able to work effectively in a fast-paced healthcare environment.
Responsibilities
Coordinate and manage patient appointments by efficiently scheduling, rescheduling, or canceling as needed across multiple departments and providers.
Confirm scheduled appointments and send reminders through approved communication channels to ensure patient attendance and preparedness.
Proactively handle appointment-related concerns by identifying issues, researching solutions, and implementing timely resolutions.
Escalate complex scheduling conflicts or patient concerns to the appropriate department while maintaining clear and timely follow-up.
Accurately document all scheduling interactions and updates in the system to maintain reliable patient records and ensure continuity of care.
Collaborate with clinical and administrative teams to align scheduling with provider availability and optimize patient flow.
Serve as a knowledgeable and empathetic point of contact for patients, delivering clear communication and support throughout the scheduling process.
Requirements
College educated
Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring
Must be comfortable with using Hubstaff, a time-tracking application
Professional-level English (written and verbal/voice)
Experience coordinating calendars, scheduling, and rescheduling
Must be comfortable answering calls
Healthcare background is required
Familiarity with Medicaid, Managed Care Organizations (MCO), and other insurance compliance regulations and policies is a big plus
Recruitment experience is a plus, but NOT required
Healthcare software knowledge is a plus, but NOT required (such as Wellsky)
Experience using any scheduling system, Microsoft Office, and Google Workspace
Professional-level English (written and verbal/voice)
