DaliBuild is hiring a motivated and detail-oriented Administrator to support our residential construction operations. This essential role ensures smooth project execution by managing documentation, coordinating schedules, processing jobsite data, and keeping our office and field teams connected. Key Responsibilities

  • Reception/Incoming Phone Calls
  • Support Project Managers with scheduling, document control, and vendor coordination
  • Permitting Coordinator - Oversee permitting operations and train future hires
  • Permit timelines
  • Maintain digital filing systems for drawings, RFIs, warranties, COIs, and material receipts
  • Prepare and submit subcontractor payment requests and expense reports
  • Monitor and update project management software (Zoho Projects or similar)
  • Help coordinate change orders, meeting agendas, and internal reporting
  • Order safety gear, office supplies, or project-specific materials as needed
  • Communicate effectively with internal teams, clients, and vendors
  • Provide daily administrative support and maintain a clean digital office environment
  • Occasionally assist with light logistics or field reporting tasks
  • Prepare and submit permit applications to local municipalities for residential construction projects.
  • Track and manage the permit process from application to approval.
  • Communicate with city/county planning departments, inspectors, and other regulatory agencies.
  • Coordinate revisions, resubmittals, or corrections as needed.
  • Maintain accurate records of all permit documentation and statuses.
  • Advise internal project teams (designers, architects, project managers) on permitting timelines and requirements.
  • Stay current with changes in local permitting regulations, building codes, and zoning laws.
  • Ensure compliance with HOA and neighborhood-specific guidelines, if applicable.
  • Support legal and environmental review processes when needed.
  • Update all licensing and insurance information with surrounding municipalities.
  • Excellent time management skills will be necessary to hit target deadlines

Qualifications

  • 2+ years of experience in an administrative role, ideally within construction or field services, with permitting and accounting experience
  • Strong organizational and multitasking skills in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Zoho or similar PM tools a plus
  • Quickbook Experience
  • Familiarity with construction terms, workflows, and documentation preferred
  • Excellent written and verbal communication skills
  • Ability to work independently, prioritize, and meet deadlines
  • Willingness to learn and adapt to company systems and culture
  • Reliable transportation
  • Experience with permitting software (e.g., ePlans, ProjectDox, Accela).
  • Familiarity with reading architectural and site plans.
  • Effective communication and negotiation skills with government agencies.
  • Detail-oriented and highly organized.
  • Ability to manage multiple permit applications simultaneously.
  • Background in construction, urban planning, architecture, or public administration is often preferred.

Work Schedule

  • Full-Time - Monday to Friday, 8am - 4pm
