Job description

POSITION SUMMARY:

The Radiology Service Navigator (RSN) supervisor is responsible for the optimal functioning of all services provided by the RSNs including but not limited to performing clerical services necessary to support the Radiologists and the Radiology department. They are responsible for radiology support improvement projects and ensuring that the team meets deadlines, expectations, and productivity targets. They serve as a liaison between upper management and staff and communicate with technologists, modality managers, and Radiologists to ensure services are provided properly and in a timely manner. This person will be expected to follow PHI and HIPAA organizational policies and guidelines.

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Supervise staff to ensure compliance with hospital goals and mission in a way that contributes to the growth of the staff/department
  • Responsible for staff scheduling and shift coverage
  • Lead workflow improvement initiatives, engaging with other departments/teams to increase RSN efficiency
  • Participate in candidate interviews for open positions
  • Organizes daily tasks for staff to increase efficiency and productivity
  • Lead and organizes staff meetings
  • Manage workflow and monitors the quality of work of staff to ensure timely completion of assignments and adherence to department’s standards and regulations
  • Assist the manager in determining appropriate work procedures to meet targeted goals; identifies problem areas and initiate changes in assignments, procedures, etc.
  • Train staff and organize training materials to ensure compliance with mandatory regulations
  • Assist the manager in monitoring staff performance, productivity, and compliance with departmental procedures to ensure quality and completeness. Provides feedback to manager to assist in staff annual appraisals
  • Provide direction and development to employees by coaching and identifying training needs.
  • Remain knowledgeable of and follows appropriate policies, procedures, and work rules.
  • Assist the manager in developing and expanding the RSN role
  • Keep track of all radiology actionable findings in the system dashboard and update with status and resolution.
  • Communicate with ordering physicians when there is an actionable finding for their patient. Record the physician acknowledgement and next steps in log and Radiology report.
  • Report on non-compliant physicians with actionable finding guidelines and escalate to Medical Director and/or Department Chief according to Radiology process.
  • Communicate critical and semi-urgent findings to ordering providers as directed by the radiology residents and staff. After navigator reaches the ordering provider, he or she will read the conclusion of the preliminary or final radiology report to the clinician and request verbal acknowledgement from the provider. (Critical call documentation as needed). 
  • Contact outside clinics to communicate critical results to ordering providers (or covering physician or nurse).
  • Track progress in system dashboard to ensure follow-up exams are completed upon recommendation by Radiologist.
  • Daily review of exams changed due to protocol and obtain new prior authorization from referring clinics for these exams.
  • Responsible for approving add-on MR, CT, and US studies if they meet written criteria as specified by the respective subspecialty sections. The Radiology Service Navigator will then enter the pertinent patient information into the online add-on spreadsheet and communicate with the radiology front desk as needed. If the criteria for add-ons are not met, the navigator will put the ordering provider in touch with the radiologist.
  • Responsible for follow-up with ordering physicians and documenting their acknowledgment in the EMR and tracking resolutions.
  • Relay technical issues to IT as directed by Radiologists.
  • Will be available to all Radiologists in the department via pager, phone, or instant messaging.
  • Triage Reading Room phone calls; transfer calls to the appropriate extension, and document and distribute messages to and from Radiologists.
  • Coordinate dialogue between Radiologists and physicians.
  • Will schedule and pre-screen patients for necessary exams and communicate conflicts/contraindications to the department lead/manager as needed.
  • Communicate and confirm appointment times with patients.
  • Review Radiology schedules for conflicts.
  • Nominate images and scan reports into patient EMR from image cloud networks as needed.
  • Other duties as assigned

EXPERIENCE:

Two or more years of administrative assistant or related experience.

Prior exposure to Epic, Excel and other electronic medical records systems is strongly preferred.

KNOWLEDGE, SKILLS & ABILITIES (KSA):

  • Work requires analytical skills and judgment to interpret data and take the appropriate action in circumstances or situations, which are routine in nature.
  • Recognizes when questions and situations are beyond routine knowledge base and direct appropriately to the Radiologists. 
  • Work requires the ability to understand and respond to written or verbal instructions.
  • Incumbents must respond appropriately to instructions, questions, or requests for information.
  • Have basic skills in PC hardware and software.
  • Excellent communication and customer service skills are required.
  • Ability to work independently
  • Works well in a high-stress environment
