Summary:
The Project Coordinator supports the execution of projects across OneDigital’s Financial Services Practice by helping to manage routines, tools, documentation, and team communications. This role works closely with project managers, operational leaders, and other cross-functional stakeholders to ensure smooth project workflows and effective coordination. This position involves assisting in the planning, execution, and monitoring of projects by coordinating schedules, resources, and communication among team members. The Project Coordinator will maintain project documentation, organize meetings, and track project progress to ensure that deliverables are achieved on time and within scope. Strong organizational and communication skills are essential for success in this role and a proactive approach to problem-solving and collaboration.
Essential Duties and Responsibilities:
Assists with maintaining project routines, documentation standards, and collaboration tools
Supports meeting coordination including scheduling, preparing agendas, documenting notes, and following up on action items
Helps organize and track project tasks, signoffs, and related documentation workflows
Works with project leads and change management resources to support training and communication needs
Assists in documenting escalation paths, mitigation strategies, and stakeholder approvals
Supports coordination of cross-functional workstreams and interdependencies
Helps maintain content on project collaboration platforms
Assists with onboarding new project team members as needed
Provides administrative support including meeting logistics, documentation updates, and data entry
May assist with repetitive project tasks such as user acceptance testing or data validation
Supports budget tracking and reporting under the guidance of project leadership
Provides day-to-day assistance to project managers, directors, and leaders as required
Qualifications, Skills and Requirements:
Familiarity with project management methodologies and tools for effective project management.
Proficient verbal and written communication skills, with the ability to work effectively with diverse teams, stakeholders, and leadership.
Familiar with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
Ability to manage multiple tasks, prioritize effectively, and maintain structured documentation for keeping projects on track.
Proficient in creating and maintaining project schedules using tools like Gantt charts, calendars, or project management software.
Taking the initiative to anticipate project needs, potential challenges, and resource requirements.
A willingness to work closely with diverse teams and stakeholders fostering a cooperative environment that enhances project outcomes.
Detail-oriented with analytical and problem-solving abilities.
Flexible and open to change when project scopes or timelines shift, maintaining project alignment with organizational goals.
A meticulous approach to documentation and reporting.
Education, Training and Experience:
Bachelor’s degree in business, finance, project management or a related field is preferred
0-2 years of coordinator-level experience required; financial services or operations support experience highly preferred
Experience supporting projects involving regulatory compliance, operations, or financial technology is a plus
Experience with Smartsheet or similar project tracking tools is highly desired
The typical base pay range for this role nationwide is $50,000 to $55,000 per year.
Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
