Job description

This is a remote position.

Flight Coordinator

Join a prestigious private jet brokerage, specializing in organ transplant flights, corporate luxury travel, and private luxury travel for families and friends. Play a pivotal role in ensuring seamless, high-quality travel experiences for high-profile clients.

What You'll Do:
  • Handle client communications via calls, emails, and CRM inputs, ensuring exceptional customer service for ultra-high-net-worth individuals and C-suite executives.
  • Coordinate and book private jet flights, including sourcing aircraft, preparing trip sheets, arranging catering, and managing trip logistics and itineraries.
  • Maintain and update the company database, tracking operator availability, flight routes, and client/vendor contacts.
  • Manage flight schedules and internal team calendars for streamlined operations.
  • Execute administrative tasks, such as CRM updates and compiling daily data for air medical evacuations.
  • Collaborate with supervisors to adhere to Standard Operating Procedures (SOPs).
  • Support night shifts, weekend schedules, and additional downtime responsibilities as required.

Become an integral member of a dedicated, high-performing team specializing in luxury travel logistics, organ transplant coordination, and private travel arrangements for families and friends. Collaborate closely with supervisors, operations staff, and vendors to ensure a premium client experience.

Who We're Looking For:
  • Experienced in Travel/Hospitality: Experience with booking flights/full itineraries is necessary. A luxury hospitality and aviation background is preferred.
  • Organized and Detail-Oriented: Excellent organizational and calendar management skills with a focus on accuracy.
  • Tech-Savvy: Basic proficiency in Microsoft Excel, Word, and CRM systems.
  • Strong Communicator: Clear, professional communication in English, with the ability to follow SOPs and manage repetitive tasks efficiently.
  • Flexible and Reliable: Willing to adapt to varying schedules, including overnight shifts and weekends, and open to schedule adjustments as needed.
