Job Title: Producer/Talent Coordinator
Location: Remote – Mexico (working US hours)
Working Hours: 8 AM - 5 PM US Time

Job Description:

We are looking for a detail-oriented Producer/Talent Coordinator to oversee the post-sale execution of expert and speaker bookings. This role is crucial in ensuring seamless event coordination and client satisfaction. You will act as the primary liaison between clients, speakers, and internal teams, managing all logistics to guarantee smooth and successful engagements.

Key Responsibilities:
  • Take ownership of client accounts post-sale, acting as the main point of contact.
  • Oversee all engagement logistics, including contract negotiation and execution.
  • Coordinate with clients and speakers to finalize event dates, details, and requirements.
  • Manage purchase orders, invoices, and payment tracking.
  • Arrange travel and accommodations for speakers, when required.
  • Ensure all stakeholders have necessary materials and information for a successful event.
  • Maintain accurate records in the booking management system.
  • Work closely with sales and internal teams to troubleshoot and resolve any issues.
  • Manage session recordings and track licensing agreements.
  • Collect post-event feedback from both clients and speakers to assess success and improve future engagements.


Requirements
  • 2+ years of experience in project management, event coordination, or a similar role.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent communication and relationship management abilities.
  • Experience working with CRM platforms (e.g., HubSpot, Pipedrive).
  • Familiarity with contract management and financial processes.
  • Ability to multitask and thrive in a fast-paced environment.
