Job description

About the Role:

We are looking for a highly organized and detail-oriented HR & Compliance Administrative Specialist to assist one of our US-based healthcare clients. The role involves handling internal documentation, supporting compliance activities, and entering data into secure systems. Ideal for someone with healthcare admin experience who understands confidentiality and workflow accuracy.

Key responsibilities:

  • Maintain and organize internal files including safety logs, personnel records, and compliance checklists.
  • Ensure all employment-related documentation meets U.S. regulatory and organizational compliance standards.
  • Enter and update information into secure, state-managed healthcare platforms (training provided).
  • Track documentation for service logs and support accurate version control and timely submissions.
  • Support a variety of administrative functions based on operational needs, such as data organization, internal documentation management, and task coordination.
  • Monitor deadlines for renewals and compliance-related reporting and ensure accurate recordkeeping.
  • Coordinate with staff to ensure that individual support-related documents are reviewed and updated as needed.
  • Ensure that all assigned tasks follow state program guidelines and meet internal quality standards.
  • Identify opportunities to streamline administrative and compliance-related processes.

Requirements

Education:

  • Bachelor’s degree in Healthcare Administration, Business Administration, or a related field preferred (not required).

Experience:

  • Minimum of 2 years experience in an administrative, back-office, or compliance-focused support role.
  • At least 2 years of experience working with US-based clients is required.
  • Familiarity with U.S. employment documentation, HR file standards, and compliance protocols is highly preferred.
  • Familiarity with Medicaid-related processes and general state healthcare documentation is a strong advantage.
  • Prior experience managing personnel files or handling regulated documentation is preferred.
