We are looking for a dynamic and highly organized Executive Assistant to support a Managing Director in both personal (75%) and professional (25%) capacities. This virtual role will include typical executive assistant responsibilities, execution of personal tasks, and logistics management. The ideal candidate will be detail-oriented, adaptable, and capable of managing diverse responsibilities in a fast-paced environment.
Job Responsibilities
Provide comprehensive support to the executive, including managing household calendar, scheduling personal appointments, and coordinating household travel arrangements.
Handle both professional and personal communication, including screening phone calls, organizing household logistics, and executing personal errands (leveraging the support of existing driver and domestic staff).
Manage special projects, mostly personal, as requested by the executive, ensuring timely and successful execution.
Organize events, both personal and corporate, ensuring all logistics are seamlessly managed.
Prepare project/event/household budgets and keep track of expenditure.
Handle confidential and sensitive information with discretion and professionalism.
Availability: The work will be conducted during business hours; however, the assistant should be reachable/available by phone/whatsapp on weekends
Requirements
A bachelor's degree in any educational field is preferred.
Minimum 3 years as an Executive Assistant / Personal Assistant / Office Admin / Event Coordinator.
Strong ability to multitask and prioritize tasks with minimal supervision.
Excellent communication and e-mail skills.
Proficiency in working tools such as Microsoft Office Suite, Google Workspace, and Google Maps.
Highly organized, detail-oriented, and professional.
Ability to handle confidential information with integrity and discretion.
Problem-solving skills and the ability to anticipate needs.
Flexible and adaptable to changing priorities.
