Job Title: Real Estate Operations Manager (100% Work From Home)


Location: Remote from Latin America


Position Type: Full-time


Salary: $1,500 - $2,000 USD/month (based on experience)


Schedule: Monday to Friday, 8:30 am - 5:30 pm (PST)


Job Overview:

Our client is a dynamic residential real estate company specializing in home flipping. As the Real Estate Operations Manager, you will manage the preparation and operations involved in listing residential properties for sale. This includes creating disclosures, compiling and editing photos, inputting into the MLS, coordinating with team members, and creating marketing and appraisal packages. You will work closely with internal teams, including construction, estate sale, and real estate professionals, to ensure a seamless process from listing to sale.


Responsibilities:

  • Manage the real estate sale preparation workflow efficiently—from gathering property data to producing a complete property advertisement—to ensure no valuable
  • marketing time is lost
  • Work under tight timelines — our properties move fast, and precision under pressure matters
  • Create and manage internal tools (forms, surveys, tracking systems) to gather detailed property data from project managers for Disclosure packages and MLS input. (The MLS is a marketing platform that advertises real estate properties to the public.)
  • Create a complete disclosure packet for each property. The disclosure package serves as a key marketing and compliance tool; accuracy and completeness are critical. Incomplete or inconsistent disclosures can delay sales and reduce buyer confidence. Final packages should be clean, organized, and ready for buyer distribution
  • Fill out disclosure forms with precision and critical thinking, utilizing information from multiple sources (internal notes, tax records, inspection reports, etc.)
  • Review disclosure documents (invoices, internal forms) provided by the Project Manager, confirm that all descriptions are accurate, and resolve any discrepancies
  • directly with the Project Manager
  • Create a Receipt for Reports for the disclosure package and include all applicable invoices and documents
  • Input properties into the MLS accurately and consistently, write and refine compelling property descriptions (AI refinement encouraged), and create an engaging property
  • slideshow by selecting and editing photos (basic Photoshop skills may be used)
  • Research missing or incomplete data on properties using public records, property sale history, and property databases
  • Track showing data and feedback on our for-sale properties to be submitted to key decision makers by pulling information from lockbox platforms (e.g. Supra, Sentrilock)
  • and enter into a spreadsheet, refining the system as needed
  • When offers are received on properties, organize purchase contracts in Dropbox, confirm document completeness, track offer details in spreadsheets, and highlight key
  • terms to share with internal decision makers
  • Create and send real estate contracts using ZipForms and Docusign
  • Communicate with HOAs to confirm details and fee breakdowns
  • Input and update data across Dropbox and internal systems efficiently to allow for collaboration
  • Run comparative market analysis (CMAs) to support pricing


Qualifications, Skills, and Key Competencies:

  • Must have 3+ years of high-level Executive Assistant, Listing Manager, or Operations experience in a fast-paced environment (real estate experience is a plus, not required)
  • Must have strong research, critical thinking, and time management skills
  • Must have excellent command of English (verbal and written)
  • Must have advanced proficiency in Microsoft Office (especially Excel and Word), Google Workspace, Dropbox, and digital document tools like Docusign
  • Must have the ability to work independently with minimal supervision
  • Must be comfortable using tools like ChatGPT or Grammarly for refinement of content

Preferred Education and Experience:

  • Basic Photoshop or photo editing experience
  • 4 year degree
  • 4+ years experience of high-level Executive Assistant, Listing Manager, or Operations experience in a fast-paced environment
