Job Description

We are seeking a detail-oriented and experienced Accounting Specialist to support our financial operations and administrative tasks. The ideal candidate has a solid foundation in bookkeeping or accounting, is proficient with QuickBooks Online Advanced, and thrives in a highly organized, team-driven environment. This role will support both financial management and general administrative functions, contributing to the overall efficiency of our business operations.


Responsibilities

Financial Management & Bookkeeping
  • Reconcile transactions and ensure accurate expense recording in QuickBooks.
  • Enter and categorize bills accurately and manage accounts payable on a structured schedule.
  • Create, manage, and send invoices and estimates to customers.
  • Assist in project closeouts by ensuring financials are complete and reconciled.
Administrative & General Support
  • Manage and organize the company’s administrative email inbox via Outlook.
  • Handle and route incoming phone calls using RingCentral.
  • Update and maintain financial reports, including project profitability tracking.
Process Improvement & Organization
  • Restructure and clean up QuickBooks for improved project tracking and reporting.
  • Implement and refine financial processes to ensure correct expense assignment.
  • Assist with bill payments and maintain well-organized financial documentation.

Requirements

  • Bachelor’s degree in Accounting or a related field (required).
  • Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring.
  • Must be comfortable with using Hubstaff, a time-tracking application
  • Proven experience in accounting, bookkeeping, or a similar finance role
  • Strong working knowledge of QuickBooks Online Advanced, especially AP, AR, billing, and reconciliation.
  • Proficiency in Microsoft Excel, Word, Outlook, and SharePoint.
  • Comfortable with virtual communication tools like Microsoft Teams and RingCentral.
  • Clear communicator and proactive self-starter
  • Comfortable in a long-term, task-based role
  • Strong organizational skills for managing administrative tasks
  • Professional-level English (written and verbal/voice)
  • Computer or laptop with access to the internet (minimum speed of 25 Mbps)
