Job purpose:

We are looking for a proactive and detail-oriented Marketing Virtual Assistant to support our marketing initiatives and team coordination. This is a part-time, remote position ideal for someone who is tech-savvy, communicates clearly in English, and is comfortable working with digital tools in a collaborative environment. 


Job details:  

  • Location: 100% Remote – from Costa Rica, Nicaragua, Mexico, Argentina or Colombia.
  • Contract TypePart-time (80 hours per month) – Contractor Agreement.
  • Schedule: Monday to Friday, from 8:00 a.m. to 12:00 p.m. (Central Time). Final schedule to be confirmed.
  • Language Proficiency: Spanish: Advanced / Intermediate to advanced English (required).
  • Availability: Immediate start required 


Key Responsibilities:

  • Manage administrative tasks: Provide administrative support including data entry, email management, and preparing documents.
  • Coordinate schedules: Assist with scheduling appointments, organizing calendars, and booking travel arrangements related to Marketing Events.
  • Assist with vendor coordination, registration setup, and related tasks as needed.
  • Email Management: Organizing and responding to marketing-related communications.
  • Internal/External Communication: Coordinating with stakeholders via collaboration platforms (e.g., Microsoft Teams, Slack).
  • Support customer service: Respond to customer inquiries and ensure customer satisfaction through timely follow-up. 


Required Academic Background:

Educational background. A high school diploma is required; a bachelor's degree in business management or marketing is preferred. 


Required Skills and Experience:

  • Bilingual in English and Spanish.
  • Work experience: Proven experience as an administrative assistant, personal assistant, or virtual assistant is desired.
  • Comfortable working with Microsoft 365, including Outlook, Word, Excel, SharePoint, and PowerPoint.
  • Experience using collaboration tools such as Microsoft Teams and Slack.
  • Soft Skills:
    • Detail-oriented and highly organized.
    • Proactive communicator with strong follow-through.
    • Adaptability. Ability to work independently in a remote work environment while multitasking.
    • Strong time management and multitasking abilities. 

Preferred (Nice to Have)

  • Digital marketing certifications are a plus (e.g., HubSpot Inbound, Meta Blueprint, Google Ads).
  • Experience with Marketing Campaigns Management using platforms such as Mailchimp, HubSpot, or ActiveCampaign.
  • Experience on Marketing Content Coordination
  • Event management platforms (e.g., Zoom, Hopin, Eventbrite).
  • Basic design or content creation skills using tools like Canva or Adobe Express.
