Work Arrangement: Fully Remote

Job Type: Full-Time

Work Schedule: Monday – Friday, 10 AM – 6 PM EST (flexibility required during peak periods)

Holiday Orientation: US Holidays

About the Company

The Company runs pre-college enrichment programs across the US and internationally, including recently acquired courses based in the UK (Oxford & Cambridge). They operate ~40 programs, split 50/50 between branded (owned) and managed programs (run on behalf of institutional partners). Their services include operations, residential life support, and staffing.

The Operations Lead oversees program delivery, staffing, conferences, and a strategic integration effort with their UK-based counterpart. The team is entering its busiest season and simultaneously preparing for a major company-wide ramp-up this coming fall.

Key Responsibilities
Program Execution & Coordination (40%)
  • Oversee the logistical planning and execution of pre-college programs.
  • Manage housing, transportation, staffing, supplies, and event logistics.
  • Liaise with university partners and vendors, ensuring timely fulfillment of contracts.
  • Troubleshoot on-site issues and provide real-time operational solutions.
Project Management & Logistics (30%)
  • Develop and manage project timelines to meet key milestones.
  • Coordinate student arrivals, departures, and daily scheduling.
  • Maintain accurate program records and documentation.
  • Assist in organizing staff training sessions and resources.
Cross-Functional Communication (15%)
  • Serve as the primary operational contact for internal teams and partners.
  • Collaborate with marketing, admissions, and academic teams to align on program goals.
  • Facilitate clear communication across all operational functions.
Process Optimization (15%)
  • Identify and implement efficiency improvements for smoother program delivery.
  • Develop standard operating procedures and best practices.
  • Gather post-program feedback and propose improvements for future sessions.

Day-to-Day Responsibilities:

  • Support summer program operations (coordination with seasonal program directors)
  • Aligning multiple departments: ops, finance, sales, marketing
  • Manage and ensure completion of recurring project checklists for each program
  • Help with long-term planning for the next cycle/year
  • Participate in larger initiatives: tech migration, finance tooling, automation
  • Act as liaison for contractors/vendors, ensure no drop-offs in process quality

Requirements

Must-Haves
  • 2-3 years of experience in Project Management, Operations, or Program Coordination.
  • Experience in education, hospitality, or event planning.
  • Excellent organizational and multitasking skills.
  • Strong interpersonal and communication abilities.
  • Calm under pressure, with strong problem-solving skills.
  • Able to manage tight deadlines and competing priorities.
Nice-to-Haves
  • Prior experience in student travel programs or university partnerships.
  • Familiarity with CRM systems like Salesforce.
