Virtual Rockstar is hiring a Fulfillment Team Leader on behalf of a leading health and wellness education company specializing in trauma recovery, somatic healing, and practitioner training. The company delivers high-quality self-help courses, professional certifications, and live training events to a global audience—supporting thousands of individuals and healthcare professionals on their trauma healing journey.
We’re looking for a strategic operator with outstanding project management and leadership skills to guide a high-performing team through seamless course and program delivery. Course & Program Fulfillment
Lead the full delivery lifecycle of live and recorded online courses and training programs
Manage all digital content uploads (videos, transcripts, handouts) within tight post-event timelines
Coordinate Zoom logistics: speaker prep, recordings, transcripts, breakout rooms, and moderation
Ensure smooth and timely delivery across all digital platforms, including course portals and community spaces
Live Event & Launch Coordination
Plan and execute launch timelines in collaboration with marketing, tech, and ops teams
Prepare assets including registration pages, emails, calendars, and automated workflows
Troubleshoot live events and collect feedback to drive continuous improvement
Student & Mentor Engagement
Manage communications with course cohorts, including reminders, access updates, and support
Provide email support with under-24-hour response times
Coordinate and track mentor sessions, feedback, and related logistics
Certification & Community Management
Oversee certification tracking, graduation milestones, and a professional practitioner directory
Lead engagement within the online community, including office hours and Q&A sessions
Monitor community metrics and implement retention and engagement strategies
Team Leadership & Systems Management
Supervise a fulfillment team of project managers and assistants
Run daily huddles and weekly check-ins, ensuring accountability and alignment
Maintain operational tools, SOPs, calendars, and templates using Asana and other platforms
Collaborate with cross-functional teams to meet project goals and deadlines
85%+ of 90-day team goals met on time
Program satisfaction scores above 80%
Completion rate of 88%+ for yearlong programs
Weekly operational score above 4.5 (on-time sessions, accurate emails, etc.)
Refund rate below 5%, and community membership retention rate above 90%

Bachelor’s degree in business, education, instructional design, or related field
3–5+ years of experience in team and project management, ideally in online education or wellness sectors
Proficient in Kajabi, Zoom, Asana, Slack, Otter.ai, and Mighty Networks
Strong organizational and communication skills with a focus on systems thinking
Comfortable balancing front-facing student support with backend operations
Experience managing multiple projects under tight deadlines
Deep familiarity with trauma-informed education or wellness programs is a plus
