This is a remote position.

Schedule:

  • 40 hours per week
  • Monday to Friday; 6AM-3PM with 1 hour unpaid break (La Jolla, CA)

Job Description

This is an exceptional opportunity for an experienced professional to serve in a dual capacity as both Executive Assistant and Real Estate Administrator. You’ll be at the heart of operations, working directly with the CEO to manage both executive functions and property portfolio administration. This role offers unique exposure to high-level business strategy while allowing you to leverage your real estate expertise. You’ll have the opportunity to implement innovative solutions, streamline operations, and contribute to the company’s growth trajectory. The position offers significant autonomy and the chance to make a real impact on business operations.

Responsibilities
  • Provide high-level executive support to the CEO, including inbox management and calendar coordination
  • Drive property management initiatives and create comprehensive portfolio performance reports
  • Manage company financial operations including expense tracking, bill payments, and utility management
  • Implement and maintain organizational systems to improve operational efficiency
  • Create and maintain detailed financial and operational reports
  • Process and organize critical business documentation
  • Identify and implement automation opportunities to streamline processes
  • Coordinate with property stakeholders and manage related communications
  • Handle sensitive financial transactions and maintain strict confidentiality
  • Proactively identify areas for improvement and suggest strategic solutions
Requirements
  • Minimum 3 years of experience in an executive assistant role, preferably in real estate
  • Demonstrated experience in property management or real estate administration
  • Exceptional organizational abilities with a track record of improving operational efficiency
  • Strong financial acumen and experience handling sensitive financial information
  • Proven ability to manage multiple priorities while maintaining attention to detail
  • Experience with automation tools and process improvement initiatives
  • Advanced proficiency in business software and willingness to learn new systems
  • Outstanding written and verbal communication skills
  • High level of discretion and professionalism when handling confidential information
  • Ability to work full-time during Pacific Standard Time business hours
  • Self-starter mindset with the ability to identify and solve problems proactively
  • Track record of bringing innovative solutions to business challenges
