  • Prepare and send a weekly operations report summarizing key project updates and performance insights.
  • Implement and refine internal systems to optimize inbox management, email response workflows, and bookkeeping processes.
  • Support list growth initiatives by updating lead magnets, managing SparkLoop and referral systems.
  • Create engaging short-form clips from podcast episodes for social media using tools like Opus Clip.
  • Conduct sponsor research and outreach to secure partnerships and maximize ad inventory fill rates.

Requirements

  • Prior experience in a similar role.
  • Exceptional attention to detail and strong follow-through on all tasks and projects
  • Proven ability to take ownership and consistently deliver high-quality outcomes on time
  • Excellent English communication skills, both written and verbal
  • Highly self-motivated and capable of working independently with minimal direction
  • Proactive mindset with the ability to identify inefficiencies, make suggestions, and implement solutions that reduce complexity and drive results
  • Demonstrated experience using AI tools for content management or workflow automation and must be confident in leading AI tool adoption and ongoing optimization
  • Familiarity with tools such as Trello, Google Docs, and Slack
  • Strong organizational and time management skills, with the ability to juggle multiple priorities effectively
  • Prior experience supporting digital content businesses—newsletters, podcasts, and social media
  • A behind-the-scenes operator who enjoys driving smooth, efficient operations
  • Experience with email and newsletter platforms is a plus (e.g., Beehiiv, Saleshandy, EmailBounce)
  • Familiarity with podcast editing or clipping tools is an added advantage. (e.g., Descript, Opus Clip)
