Job Title: Virtual Assistant – Financial Services (Loan Processing) [For Pooling]

Work Schedule: NZ Business Hours (Monday to Friday)

About the Role (For Pooling)

We are actively pooling for experienced and highly organized Virtual Assistants to support our New Zealand-based clients in the financial services sector, particularly in mortgage and loan processing. While this is not for an immediate opening, shortlisted candidates will be prioritized once roles become available.

The Virtual Assistant will play a vital role in supporting brokers and loan officers by handling administrative tasks, coordinating with clients, and ensuring smooth documentation and follow-ups throughout the loan process.

Key Responsibilities
  • Provide day-to-day administrative support to loan officers and brokers
  • Collect, review, and manage client documents related to loan applications
  • Communicate with clients to request or clarify necessary paperwork
  • Maintain accurate and up-to-date records in CRMs and other platforms
  • Follow up with lenders, legal offices, and third-party contacts as needed
  • Schedule meetings, coordinate calendars, and prepare client summaries
  • Assist in generating reports and handling email correspondence
  • Perform other general virtual admin tasks as required

Qualifications
  • Minimum of 2 years of experience as a Virtual Assistant, preferably within the financial, mortgage, or real estate sectors
  • Excellent English communication skills (written and verbal)
  • Strong attention to detail and ability to handle sensitive information
  • Familiarity with NZ loan or mortgage processes is a plus
  • Tech-savvy and comfortable with cloud-based tools and CRMs
  • Strong time management and organizational skills
  • Ability to work independently and meet deadlines in a remote setup

Preferred Tools/Software Experience
  • Loan/mortgage CRMs (e.g., Mercury, Salesforce, HubSpot)
  • Google Workspace or Microsoft Office Suite
  • Communication platforms such as Zoom, Slack, or MS Teams
