Job description

This is a remote position.

Schedule:

  • 40 hours per week
  • Monday to Friday; 7am - 4pm with 1 hour unpaid break (8 paid hours per day)

Job Description

Responsibilities
  • Serve as the primary point of contact for incoming communications, managing phone calls, emails, and social media inquiries with professional courtesy
  • Coordinate and manage complex calendar scheduling across multiple business ventures
  • Support customer service operations, ensuring exceptional first impressions and ongoing relationship management
  • Assist in implementing and maintaining CRM systems, particularly Hubspot
  • Manage and organize digital workflows using Google Workspace and Slack
  • Handle sensitive communications and documentation with appropriate confidentiality
  • Support the setup and maintenance of new business initiatives
  • Coordinate between multiple business ventures, maintaining organized systems and processes
  • Assist with basic financial documentation as needed
  • Contribute to maintaining professional business image across all communication channels
Requirements
  • 3+ years of proven experience as an Executive Assistant or Personal Assistant
  • Exceptional communication skills with professional phone manner
  • Strong proficiency in Google Workspace and modern communication platforms
  • Experience with CRM systems, preferably Hubspot
  • Demonstrated ability to maintain confidentiality and professional discretion
  • Strong organizational skills with ability to manage multiple priorities
  • Tech-savvy with aptitude for learning new software systems
  • Professional written communication skills for business correspondence
  • Basic understanding of social media management
  • Ability to work independently and take initiative
  • Experience in healthcare or medical field is advantageous but not required
  • Basic bookkeeping knowledge is a plus
