The ideal candidate has strong knowledge both in administrative and financial broking business. Below is the detailed duties and responsibilities.
Download and review loan documents for accuracy.
Coordinate with clients for timely loan document signing and return.
Track and follow up on outstanding settlement conditions.
Draft client communications regarding settlement funds and shortfalls.
Assist clients in arranging or updating building insurance as needed.
Facilitate refinance cashback claims with lenders.
Accurately complete Discharge Forms using internal resources.
Update internal systems (e.g., Broker Engine) post-settlement.
Send settlement confirmation emails to clients.
Follow up on outstanding invoices.
Maintain and update client details in the MailChimp database.
Provide admin support for events and marketing campaigns.
Manage RSVP lists and update marketing databases.
Post updates and engage via company social media platforms.
Connect and manage messages on LinkedIn for the company and MD.
Organize and send gifts to staff, clients, and partners.
Offer general administrative support across the business.
Prepare lender pricing requests and assist with interest rate negotiations.
Help brokers create lender comparisons.
Order and track various types of property valuations using tools like Valex or CoreLogic.
Accurately enter property and client data with a zero-error approach.
Follow up on delayed valuation reports and escalate issues as needed.
Save reports correctly and update client assessments.
Download and organize documents from clients and third parties (lawyers, accountants, etc.).
Ensure files are named properly and stored within the correct folder structure.
Create complete document packs for assessments.
Identify missing documents or blockers that may delay broker work.
Transfer key data (e.g. expenses, property portfolios) into internal systems.
High attention to detail and a process-oriented mindset.
Excellent communication and client service skills.
Familiarity with mortgage or financial services operations is highly regarded.
Comfortable using document management systems and marketing tools.
A proactive, can-do attitude and team player mindset.
