Program Support Manager

Summary:

The Program Support Manager is responsible for resolving on-program needs in collaboration with Local Coordinators (LCs) and Field Leadership as needed. This includes taking an active role in mediation among stakeholders, troubleshooting issues and overall support of participants, host families and LCs on the Greenheart J1 High School program, Grants FLEX/YES, and short-term inbound exchange programs. In addition, Program Support Managers will be responsible for data tracking, correspondence with program stakeholders (international partners, participants, LCs, host families, schools, health care providers, etc.) and other administrative duties within the program support department. Program Support Managers will also be responsible for ensuring program quality and compliance with Greenheart and US Department of State (DOS) rules and regulations.

Requirements, qualifications and skills:

  • Bachelor’s degree or equivalent experience highly preferred. 
  • Experience in program support, student exchange programs, or non-profits preferred. 
  • Familiarity with U.S. Department of State regulations regarding J-1 visa and exchange programs strongly preferred.
  • Build and maintain relationships with key stakeholders through networking and relationship management, online and in-person.
  • Confident in public speaking and delivering presentations to various stakeholders.
  • Professionalism – approaching others with consideration, tact, compassion and willingness to listen and understand 
  • Adaptability – being flexible and able to adjust to changes in the work environment, processes and approach
  • Computer Skills: Microsoft Suites (Word, Outlook, Excel, SharePoint, Teams)
  • Skilled in creating and managing social media content for outreach and recruitment purposes.

Responsibilities:

  • Provide timely support and resolution to participant, host families, and Local Coordinator (LC) inquiries and concerns.
  • Design and implement action plans for resolving escalated issues in line with Greenheart and DOS regulations.
  • Ensure program activities comply with U.S. Department of State regulations and internal policies, including validation, documentation, and incident reporting.
  • Track, analyze, and report on participant, host family, and LC data to identify trends, inform decision-making, and support program improvements
  • Provide clear, timely communication and training to stakeholders including participants, host families, field staff, schools, and international partners. 
  • Oversee program logistics such as travel coordination, documentation, internal procedures, and support for Greenheart events and office functions.
  • Support recruitment and community engagement through targeted social media content, digital campaigns, and outreach efforts in collaboration with field staff.
  • Represent Greenheart at conferences and external meetings, build relationships with stakeholders, and deliver presentations to promote program understanding and support.
