This is an exciting opportunity for a proactive Executive Assistant to directly support a key director who leads both business operations and sales initiatives. You’ll be the organizational backbone of senior leadership, ensuring smooth operations through sophisticated calendar management, strategic email handling, and high-impact presentation development. Responsibilities
Drive proactive email management by independently responding to correspondence and ensuring critical messages receive immediate attention
Orchestrate complex calendar management, thinking several steps ahead to coordinate travel, accommodation, and logistics
Transform executive’s brainstorming sessions and whiteboard concepts into polished, professional presentations
Lead daily morning check-ins to align priorities and ensure optimal time management
Implement and maintain structured systems for task management and email organization
Coordinate domestic travel arrangements including flights, hotels, and ground transportation
Protect executive’s time by ensuring calendar commitments align with strategic priorities
Create and maintain efficient document management systems
Independently handle routine correspondence and decisions on behalf of the executive
Requirements
Exceptional proactive mindset with demonstrated ability to anticipate needs before they arise
Strong organizational skills with a structured, systematic approach to task management
Outstanding written and verbal communication skills in English
Advanced proficiency in Microsoft Office Suite, particularly Outlook and PowerPoint
Proven ability to work independently and make sound decisions without direct supervision
Experience in calendar management and travel coordination
Strong attention to detail and commitment to accuracy
Professional demeanor and excellent interpersonal skills
Ability to maintain confidentiality and exercise discretion
Availability during UK morning hours (preferred 8am-12pm UK time)
