Key responsibilities include:
Accurately follow the onboarding checklist for every new client
Capture and complete client profiles in Mindbody, including secure card storage
Ensure each new account is transaction-ready and fully functional
Book the client’s first personal training session promptly
Maintain up-to-date records and onboarding status in HubSpot
Educate clients on how to use the app and booking system, and explain gym rules clearly
Assign the correct Customer Care Liaison in HubSpot for seamless ongoing support
Set follow-up reminders for the Sales Manager post-first session
Proactively manage no-shows and stalled clients by rebooking and checking payment statuses
Keep your support calendar updated so clients can easily book assistance sessions
Highly organised and meticulous with data and processes
Clear and confident communicator, able to explain tools and systems effectively
Experience with CRM and booking platforms (HubSpot and Mindbody preferred)
Able to juggle multiple tasks with accuracy and consistency
Client-focused with a proactive and solution-driven mindset
Previous experience in onboarding, customer service, or admin support is an advantage
