Join our dynamic Global Expense team as a Senior Global Expense Specialist, where you will help refine our expense management processes. This remote-based, full-time role is designed for someone who will enhance our client service team's efficiency by managing expense administration and implementing best practices. You will operate under the guidance of our Global Expense Manager and contribute to our services.

 

You Will

  • Independently audit, review, and process expense claims, ensuring they are valid, accurate, and complete with the necessary documentation.
  • Uphold strict adherence to both our internal expense policies and the varying local expense regulations, updating and informing team members of any changes.
  • Proactively engage with employees and internal teams to resolve issues related to non-compliant expenses, missing documentation, and pending claims.
  • Guarantee the completeness and promptness of all expense reporting and submissions.
  • Conduct system checks, perform audits, and ensure accurate data entry across Expensify and other expense management platforms used by our organization and clients.
  • Produce and present a range of accounting reports on a monthly, quarterly, and annual basis.
  • Organize and maintain expense records in compliance with local retention laws and audit requirements.
  • Address and resolve queries related to expenses from both internal and external sources.
  • Collaborate with payroll departments to enhance processes and drive operational efficiencies.
  • Oversee the review, approval, and reimbursement of expense reports from our supported employees.
  • Develop and update expense policies to align with local legislation and tax requirements in the regions we support.

Qualifications:

  • A minimum of 5 years' experience in payroll and/or expense management.
  • A Bachelor's degree or equivalent professional experience.
  • Proficiency in English is mandatory.
  • Prior experience with online expense management platforms, such as Expensify, but any other expense platform.
  • Comprehensive knowledge of regional expense legislation and tax implications on an international scale.
  • A background in Corporate Accounting or Finance is advantageous.
  • Written and verbal skills with an emphasis on interpersonal interactions.
  • Proficient in advanced Microsoft excel (can maintain complex spreadsheets).
  • Time management and organizational capabilities.
  • Critical thinking skills and the initiative to research and solve problems independently.
  • A process-driven, organized mindset.
  • The capacity to work individually as well as part of a team.
