Job description

Work Arrangement: Monday - Friday, 9 AM - 5 PM MST (with flexibility to accommodate high-priority meetings or deliverables)

Job Type: Full-time, Independent Contractor.

Salary Range: Competitive; based on experience

Work Schedule: 40 hours per week, Monday–Friday.

Locations: Remote, open to candidates who can work MST hours.

Role Overview

We are seeking a highly organized, proactive, and discreet Executive Assistant to support its senior leadership in a fast-paced, high-performance environment. This role is critical in ensuring executive operations run smoothly by managing complex calendars, high-volume communications, travel logistics, and confidential documentation.

Key Responsibilities
  • Calendar & Scheduling Management – Coordinate executive calendars across multiple stakeholders, time zones, and dynamic schedules.
  • Meeting & Travel Logistics – Organize internal/external meetings, prepare agendas, take meeting notes, and manage complex domestic/international travel.
  • Email Triage & Communication Management – Monitor and respond to high-volume email inboxes, draft and review correspondence.
  • Project Support – Assist with the execution and tracking of internal initiatives, investor updates, client deliverables, and board communications.
  • Document Preparation & Organization – Format and edit presentations, reports, and spreadsheets for internal and external use.
  • Executive Gatekeeping – Serve as a strategic filter and first point of contact for external requests, ensuring the executive’s time is optimized.
  • Confidential Coordination – Handle sensitive business, financial, and personnel matters with absolute discretion.

Requirements

Non-Negotiables:
  • Minimum 2+ years of experience supporting C-suite or senior executives
  • High proficiency in Google Workspace (Docs, Sheets, Slides, Calendar) and Zoom
  • Experience coordinating across multiple time zones and with international stakeholders
  • Strong command of written and spoken English
  • Flawless organizational and task prioritization skills
  • Trustworthy, proactive, and calm under pressure

Nice-to-Haves:
  • Executive assistant experience in tech, energy, or finance environments is preferred
  • High EQ and polished executive presence
  • Excellent judgment, especially in sensitive and confidential matters
