Job description

Position Purpose

As a direct report to the Senior Director, Community Engagement, the Coordinator, Community Engagement provides essential administrative and project support to the Senior Director and Director of Community Engagement. As a member of the Agency Growth team within Big Brothers Big Sisters of America (BBBSA), the coordinator supports the implementation of community engagement strategies across the Big Brothers Big Sisters (BBBS) network of more than 230 BBBS agencies, assisting in initiatives designed to ensure every young person has access to transformative mentoring experiences.

Location: 100% Remote (Continental United States)

FLSA Status: Full Time, Non-Exempt/Hourly

Travel: 5% or less

Essential Duties and Responsibilities

  • Provide administrative support, including managing calendars, scheduling meetings, arranging travel, processing expenses, and handling correspondence.
  • Assist in the planning, organization, and coordination of community engagement projects, events, workshops, and meetings, including agenda creation, logistics, and documentation.
  • Support the tracking and management of key project milestones, tasks, and deliverables to ensure timely completion.
  • Maintain organized databases and documentation, ensuring accurate and confidential record-keeping.
  • Draft, proofread, and coordinate internal and external communications, including emails, newsletters, reports, and presentations.
  • Facilitate communication between BBBS affiliates, external partners, and the Community Engagement team, responding to inquiries and providing timely follow-ups.
  • Manage procurement and budgetary activities, including invoice processing, tracking expenditures, and budget reconciliation.
  • Support the development and distribution of community engagement resources, materials, and toolkits.

Education, Skills & Related Work Experience

Education Level: Bachelor’s degree or equivalent combination of relevant professional experience.

Years and Scope of Related Work Experience: Minimum 3 years of experience in administrative support, project coordination, ideally in a nonprofit or youth development environment.

Skills and Knowledge: Microsoft Office Suite Proficiency; Excellent organizational, time-management, and multi-tasking skills with the ability to prioritize tasks effectively; Effective interpersonal skills and ability to communicate and collaborate with diverse groups and stakeholders; Demonstrated initiative, adaptability, and commitment to confidentiality; Proven ability to collaborate effectively within cross-functional teams; Demonstrated commitment to providing outstanding customer service to internal and external stakeholders; Familiarity with Asana and CRM systems.
