Job description

The Contracts Assistant assists our Contracts and Rights team with administrative tasks, including reviewing contract documents, submitting orders for complimentary book copies due per contract, filing copyright registrations, and newly published books, and updating the company’s contract databases and files. This position may support other areas of the Legal department on special projects and tasks, as needed.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

The essential job functions include, but are not limited to, the following:

  • Reviewing basic contract documents for completeness and accuracy, and updating our product and contract databases;
  • Ordering complimentary copies of new book publications for contracted parties upon publication using database reporting functionality, and collaborating with warehouse and customer service staff as needed to ensure copies are delivered appropriately;
  • Reviewing and registering newly published books with the U.S. Library of Congress;
  • Assisting with database updates and improving data integrity; and
  • Handling other tasks and projects, as assigned.

QUALIFICATIONS AND EDUCATION:

Qualifications and education include, but are not limited to, the following:

  • One year of administrative office experience required;
  • Interest and experience with contracts and the publishing industry preferred; and
  • Microsoft Office suite (Word, Excel, Outlook, Teams), database navigation and entry, and internet navigation and research.
