Experience Level: Minimum 2.5-5 years in customer support, executive assistance, or office coordination roles - experience in apparel decoration or print services is strongly preferred. Exceptional Communication Skills: Strong verbal and written English communication across phone and email is essential for both internal coordination and customer satisfaction. Detail-Oriented Workflow: Ability to manage high volumes of orders and communications with strong attention to accuracy in specifications, scheduling, and customer preferences. Order & Workflow Familiarity: Comfort working in fast-paced, made-to-order environments where specific materials must be ordered per job and turnaround times are critical. Tech Savvy & Organized: Familiarity with Monday.com and Google Workspace for managing tasks, documents, and communication. Preferred familiarity with QuickBooks or willingness to be trained. Bonus Skills: Experience with Adobe Illustrator or basic graphic editing (editing or prepping client-submitted artwork) is a major plus.
Core responsibilities:
Customer Communication & Support: Maintain timely, professional communication with customers via email and phone, providing updates, answering inquiries, and ensuring all client needs are clearly understood and addressed. Order Processing & Materials Coordination: Accurately process customer orders, ensuring the correct apparel, print materials, and customization details are sourced for each job. Estimate & Invoice Management: Assist with preparing customer estimates and invoices using QuickBooks (training provided), ensuring accuracy and timely follow-up. Executive Assistance: Support the CEO with managing email responses, follow-ups, and administrative tasks, helping keep daily operations organized and responsive. Project Management Updates: Use Monday.com to track and update order progress, assign tasks for operators (embroiderers, printers, designers), and maintain accurate status boards. Internal Coordination & Scheduling: Work cross-functionally with production staff to ensure smooth handoffs, proper setup, and that timelines for made-to-order jobs are met.
