Salary Range: Competitive, Commensurate with Experience

About the Client

Our client is an established investment firm focused on acquiring and growing small to mid-sized businesses across the United States. The role directly supports the firm’s Founder and CEO—an experienced fund manager currently managing his second fund alongside a portfolio of personal investments.

This position goes beyond standard executive support, blending business operations with personal assistance in a high-trust, high-autonomy environment. From coordinating business meetings to managing household logistics, the ideal candidate will thrive in a dynamic setting where confidentiality, ownership, and proactivity are paramount.

Position Overview

The Executive Assistant will serve as a strategic right hand to the Founder, seamlessly balancing executive assistant responsibilities with personal assistant tasks. The role calls for someone who is detail-obsessed, highly adaptable, and capable of handling both high-level business operations and personal logistics with grace and confidentiality.

Key Responsibilities

Executive & Operational Support

  • Coordinate complex calendars, appointments, and meeting schedules
  • Handle communications—screen, triage, and respond to emails, calls, and correspondence
  • Prepare PowerPoint decks, reports, and professional documents
  • Coordinate with universities for intern postings, screen applicants, and conduct initial interviews
  • Support project management by tracking timelines and deliverables
  • Transcribe AI-generated meeting notes and follow up on action items
  • Conduct online research to support business decisions and strategic planning

Personal Assistant & Household Management

  • Schedule and manage personal appointments, events, and travel
  • Book flights, accommodations, and transportation for personal and business trips
  • Handle personal errands such as online purchases, gift sourcing, and special requests
  • Support household operations by scheduling repairs, coordinating vendors, and organizing events
  • Manage personal communications with discretion and efficiency

Confidentiality & Discretion

  • Maintain strict confidentiality across all personal and business matters
  • Operate with integrity and professionalism at all times

Requirements

Must-Haves

  • 3+ years of experience as an Executive Assistant or Personal Assistant, preferably supporting a CEO or Founder
  • Proven ability to manage both professional and personal matters for high-level executives
  • Proficiency in Google Workspace, Microsoft Office (Word & PowerPoint), and communication platforms
  • Experience using ChatGPT or similar AI tools for drafting and research
  • Excellent written and verbal communication skills
  • Highly organized with the ability to prioritize tasks and manage time independently
  • Strong discretion, judgment, and problem-solving ability
