Role Overview

The Operations Manager will be a pivotal team member responsible for optimizing workflows, supporting client operations, and ensuring the seamless delivery of quality management solutions. This role requires a detail-oriented individual with strong analytical skills and a proactive mindset to streamline processes and deliver exceptional client experiences.

Key Responsibilities

Operations Support:

  • Workflow Optimization: Improve processes to boost efficiency and collaborate with teams to solve bottlenecks.
  • Client Coordination: Manage client communication, ensuring timely issue resolution and project milestones are met.
  • Data Management: Maintain accurate operational data and generate reports to support decision-making.

Logistics Coordination:

  • Supplier & Vendor Management: Coordinate with suppliers and vendors for timely quality inspections and shipments.
  • Product Quality Tracking: Ensure quality assurance protocols are followed and update clients.
  • Vendor Negotiations: Manage relationships and negotiate better processes and prices with vendors.

Technology Utilization:

  • System Integration: Use tools to manage workflows, automate tasks, and troubleshoot software issues.

Administrative Functions:

  • Documentation: Maintain records of activities, client interactions, and quality metrics.
  • Support for Leadership: Assist the leadership team with scheduling, presentations, and ad-hoc tasks.

Immediate Tasks in Week 1:
  • Learn the company's tools, processes, and team structure.
  • Manage client communications and project timelines.
  • Audit workflows and suggest improvements.
  • Work with the leadership team to prioritize operational goals.
  • Shadow team members to understand the quality management process.

Requirements

  • At least 3 years of professional experience in operations, logistics, or project management.
  • Prior experience in the e-commerce, D2C, or supply chain industries is highly desirable.
  • Proficiency with operational tools and platforms such as Asana, Monday.com, ClickUp, HubSpot, or similar project management systems.
  • Strong analytical abilities, with a proven track record of deriving actionable insights from data.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to manage multiple tasks, prioritize effectively, and thrive in a fast-paced environment.
