People Team Coordinator

Position: People Team Coordinator (Senior Associate, People)
Reports to: SVP, People
Location: Remote
Salary: $55,000

About the Role

The People Team Coordinator plays a vital role in supporting the operations and effectiveness of the People function at our organization. This individual will provide high-quality administrative and project support to ensure the smooth execution of day-to-day team operations and strategic initiatives. The coordinator will manage calendars, expense reporting, document preparation, and internal team communications while also helping to maintain systems, organize information, and support various projects aligned with the broader People strategy.

This position requires strong organizational skills, high attention to detail, discretion with sensitive information, and the ability to juggle multiple priorities in a mission-driven, fast-paced environment.

Key Responsibilities
Administrative & Operational Support
  • Provide direct administrative support to the SVP, People, including calendar management, meeting coordination, and travel arrangements.

  • Process expense reports and assist with procurement needs.

  • Support the preparation of team presentations, reports, and materials for internal and external stakeholders.

  • Maintain centralized documentation, such as job descriptions and internal policies, ensuring accessibility and version control.

  • Assist with team communications, including internal newsletters, meeting follow-ups, and leadership updates.

People Team Coordination
  • Manage logistics for recurring team meetings, retreats, and cross-functional working sessions.

  • Provide support for key People Team initiatives, including engagement programs, recognition, and internal campaigns.

  • Help monitor and track project milestones and team deliverables, ensuring follow-up and accountability.

  • Assist with data reporting, survey coordination, and compiling team metrics as needed.

Qualifications & Experience

  • Minimum of 3 years of administrative or coordination experience in HR, nonprofit, or operations roles.

  • Excellent time management and organizational skills; ability to manage multiple priorities simultaneously.

  • Strong written and verbal communication skills with a high degree of professionalism.

  • High attention to detail and ability to maintain accuracy in fast-paced settings.

  • Experience handling confidential information with discretion.

  • Proficiency in Google Workspace and common administrative tools.

Preferred Qualifications
  • Availability to work 9:00 am - 5:00 pm Eastern or Central Time Zone.

  • Experience with systems such as Bob (HiBob), Greenhouse, Paylocity, and Slack.

  • Prior experience in a mission-driven, nonprofit, or workforce development organization.
