This position will collaborate with the Trauma Program Director and the additional trauma registrars to ensure validation processes are in place for the Trauma Registry to contain accurate, detailed, reliable, and readily accessible information needed to support the operations, quality initiatives, and research efforts. The registry manager assists with coordinating all activities associated with the registry including data gathering, data abstraction/entry/coding, data analysis, data validation and maintenance, reporting, and additional clerical duties such as filing, organizing, and assisting with meetings. The Trauma Registry Manager will act as a liaison with all WVU Medicine trauma centers and outside agencies. The Trauma Registry Manager will also assist with orientation and mentorship of Trauma Registry staff, including training, delegation, and review of accuracy of case finding and validating the registry database by performing edit checks, inter-rater reliability auditing, and re-abstracting. The Trauma Registry Manager will assure that data entry and submissions to WVOEMS, NTDB (National Trauma Data Bank) and The Trauma Quality Improvement Program (TQIP) of the American College of Surgeons (ACS) for maintenance of state designation, national verification, as well as national benchmarking are submitted and accurate.

MINIMUM QUALIFICATIONS:
EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1.    Associate or Bachelor’s degree from an Accredited Health Information Management Program. 
2.    Successful Completion of Association for the Advancement of Automotive Medicine (AAAM) Abbreviated Injury Scale (AIS) Coder Training. 
3.    Minimum 5 years trauma related coding experience in an acute care setting. AIS/ISS, ICD-10-CM/PCS coding required.
EDUCATION, CERTIFICATION, AND/OR LICENSURE:
1.    Experience with mentoring adult learners and developing educational needs assessments.
2.    Experience with team leading and establishing performance metrics. 
3.    Experience with the EMR EPIC.

PREFERRED QUALIFICATIONS:
EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1.    RHIT (Registered Health Information Technician), RHIA (Registered Health Information Administrator), CSTR (certified Specialist in Trauma Registry), and/or CAISS (Certified Abbreviated Injury Scale Specialist) certified or comparable work experience specific to the Trauma Registry.
EXPERIENCE:
1.    Understanding of the Trauma Quality Improvement process and patient safety programs; knowledge of standards required by various regulatory agencies.
2.    Ability to work independently with excellent time management skills to meet established deadlines, on assigned projects.


CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position.  They are not intended to be constructed as an all-inclusive list of all responsibilities and duties.  Other duties may be assigned.
1.    Provides oversight of the WVUM registry process, including but not limited to identification of patients that meet criteria for the trauma registry, tracking of registry and non-registry patients through maintenance of various logs, timely abstraction of trauma registry cases and associated team/team member metrics, as well as data drilldowns, reporting and collaboration with the trauma coordination team.  
2.    Trauma Registry Manager will abstract (at minimum) 15% of FTE and participate in chart re-abstraction for IRR purposes. Assigns and reviews IRR charts to registry teams members. 
3.    Collaborates with local trauma registry personnel to create reports and provide data for a variety of stakeholders, including but not limited to Trauma Program leadership, Trauma Program Manager, Trauma Medical Director, Trauma Clinicians, internal health care professionals, research coordinator(s), and appropriate external agencies.
4.    Collaborates with Trauma Program Director to ensure all appropriate reporting and review documentation is completed in a timely manner for the monthly PIPS meetings.
5.    Establishes membership on relevant list-serves to update entire team on events/ changes upcoming dates (NTDS,TQIP, etc) and oversees the transfer of trauma registry data to the designated systems including local, state, and national systems in alignment with the submission deadlines and supports benchmarking reports. 
6.    Collaborate with team members to develop a comprehensive Trauma Registry orientation manual. 
7.    Develops, coordinates, and maintains documentation of INDIVIDUAL Registrars consistently meeting established productivity requirements also registry data collection validation, and reporting for Trauma Program leadership review. Provides feedback to Trauma Registrars regarding data entry reports.
8.    Shares in oversight of trauma registry staff by facilitating team and one-on-one meetings, providing leadership and decision-making support for the trauma registry team while consistently exhibiting capacity to communicate effectively with the team to influence change.
9.    Maintain understanding of the Trauma Quality Improvement process and patient safety programs; knowledge of standards required by various regulatory agencies.  Maintains knowledge of current trauma trends and developments by reading appropriate literature, attending related seminars, and any internal educational offerings. Uses industry best practices to optimize operational processes for trauma registry functions; supports assimilation of needed programmatic changes. 
10.    Maintains compliance with departmental and TQIP/ACS – sanctioned ongoing education and maintains the appropriate records.  Identifies training/learning needs and seeks out opportunities for the team. 
11.    Represents WVU Medicine at relevant hospital, local, state and national meetings/conferences and on relevant listservs.  Supports team participation in projects and/or the submission of abstracts to state and/or national conferences.
12.    Act as a mentor to new staff.
13.    Attend all necessary meetings/courses to establish skills to be a registry superuser. 
14.    Other duties may be assigned by the Trauma Program Director.

SKILLS AND ABILITIES:
1.    Knowledge of and ability to use computers, including word processing, spread sheets, graphics, messaging (E-Mail), data base management, and report writers.  Experience with Excel, Microsoft teams, Webex and ZOOM  is useful.
2.    Ability to work independently with excellent time management skills, on assigned projects and to recommend improvement to the process of collecting, maintaining, and reporting trauma registry data.
3.    Experience with performance audits.
4.    Ability to establish productive relationships with a wide variety of health care professionals.
5.    Ability to mentor adult learners.
