Overview: We are seeking a highly organised and proactive Coordinator, Executive Leadership and Board Team, based in Brazil or Peru, to provide critical support to our Board of Directors, Advisory Council (AC), and Executive Leadership Team (ELT). This role is pivotal to ensuring governance and leadership routines run smoothly across our global organisation. With a sharp eye for detail and a passion for enabling leadership, you will manage complex scheduling, logistics, and confidential communications across multiple time zones.

Job Description 

We are currently seeking a detail-oriented operations and communications professional to join our growing Executive Office team. The Executive Office empowers our senior leaders to focus on strategy and delivery by enabling smooth operational support and governance routines. 

As Coordinator, Executive Leadership and Board Team, you will play a key role in coordinating the work of our senior-most governance bodies. This includes providing administrative and logistical support to the Advisory Council and Board (20% of time), and proactive operational and communication support to the ELT (80% of time). You’ll work under the direct line management of a Board Director, with day-to-day oversight from the Chief Operating Officer (COO). 

Key Responsibilities 

Support to the Board of Directors / Advisory Council (20%) 

  • Manage the annual AC meeting calendar (virtual + in-person), including logistics, invitations, Zoom links, and scheduling with internal and external stakeholders. 
  • Prepare and distribute meeting papers, minutes, and agendas with exceptional attention to clarity and timeliness. 
  • Lead logistical coordination for the in-person AC meeting, including venue, catering, and participant communication. 
  • Support coordination of other governance bodies such as the Risk and Audit Committee, Remuneration Committee, and Systems Committee. 
  • Maintain AC/Board records on the internal Knowledge System, and assist with Management Incentive Plan (MIP) documentation. 

Support to the Executive Leadership Team (80%) 

  • Manage scheduling across the ELT, under the leadership of the COO, to enable efficient routines across time zones. 
  • Serve as a point of contact for internal and external communications involving the ELT, ensuring clarity, discretion, and timely response. 
  • Prepare briefing documents, agendas, and follow-up actions for ELT meetings, collaborating closely with the Chief of Staff and Executive Assistant to the CEO. 
  • Plan and execute in-person ELT-GL meetings and partner on delivery of Town Halls, Quarterly Calls, and other leadership communications. 
  • Track priorities and drive progress on high-level initiatives, surfacing follow-ups and supporting materials to keep momentum. 
  • Schedule 1:1s between ELT, GLs, and other stakeholders, ensuring actions are logged and followed up.

Required Skills/Experiences 

  • Experience: 5+ years in an Executive Assistant, Board Coordinator, or Chief of Staff-type role, ideally within professional services or consultancy. 
  • Professional Services Experience: Familiarity with the pace and expectations of working with senior leaders in fast-moving environments. 
  • Communication: Excellent written and verbal communication in English (advanced professional fluency). 
  • Location: Must be based in Brazil or Peru, with full right to work. 
  • Tools & Tech: Proficiency in tools like Microsoft Office, Zoom, Google Calendar, and internal communication platforms.
