⭐ The People Ops role

Are you excited about operating, designing and scaling efficient HR operations in a fast-growing company? Join our vibrant People team at Alan as People Ops!

  • Below is an overview of the role's key missions.

  • All of those missions cover all the countries in which Alan operates (Belgium 🇧🇪 , Canada 🇨🇦 , France 🇫🇷 and Spain 🇪🇸 ) and also employees under employment of record.

  • You'll work closely with one amazing mentor from our team, who will guide you through the intricacies of People Operations and help you grow in your role.

1️⃣ Employee lifecycle management (for a workforce of about 650 employees across 4 countries)

  • Manage the lifecycle of Alaners: take care of pre-boarding, onboarding and offboarding, employment contract management, affiliation to the different social organizations.

  • Promote an optimal employee experience: continuously improve processes to put Alaners at the heart of everything the People does (rather than thinking process-first) and design an employee experience that is aligned with Alan's Leadership Principles.

  • Be a day-to-day touchpoints of Alaners through the oncall system to answer their questions, with a specific attention to document knowledge and improve processes.

2️⃣ Payroll management and administrative and legal compliance

In this role, you'll be at the heart of HR operations, especially on personnel administration and payroll. You will be responsible for:

  • Collecting and transmitting variable pay elements to the different payroll providers with whom we work.

  • Enter and monitor sick leave and its impact on payroll.

  • Monitor legal leaves, flexible leaves and RTT.

  • Check pay slips and prepare final accounts.

  • Manage interactions with social organizations (occupational medicine, social security, mutual insurance, provident funds).

3️⃣ International operations

  • Manage visa applications.

  • Handle relocations requests from employees.

  • Run the international payroll.

  • Enrich documentation on those topics to spread the knowledge + maintain current documentation up to date.

4️⃣ Automation and efficiency of all key People processes

  • Maximize the efficiency of the team with process documentation and automation.

  • Identify and elimination operational inefficiencies.

  • Incorporate AI where possible to reach those objectives.

Areas of development: individual situation management

One of the major areas of development for the role, after 6 months of successful onboarding, is the management of individual situations, which requires tact, empathy and a good knowledge of the employment law framework. People ops staff joining our team will be gradually guided and trained in this area.

Is it what you are looking for?

  • 0-4 years of professional experience (recent graduates are welcome!)

  • Strong organizational skills and ability to manage multiple operational workflows

  • Natural inclination toward process improvement and documentation

  • Experience with or enthusiasm for automation tools and systems

  • An eye for detail and a passion for accuracy

  • The ability to work independently and make well-informed decisions

  • A curiosity for learning new skills and processes quickly

  • Fluency in French and English, both written and spoken. Dutch or Spanish is a plus.

  • Prior experience in HR, even as an intern or in a work-study program.

As a plus:

  • Experience in a startup or a scale-up environment.

Language requirements
  • Professional fluency in French and English (spoken and written)

  • Spanish and/or Dutch proficiency is a plus

Level range

For this opportunity, we are aiming to hire within the A2-B1 level range.
