JOB SUMMARY

We are seeking a top-tier, highly skilled administrative professional who is not only organized and tech-savvy, but truly exceptional at what they do. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, dynamic environment. This role offers the opportunity to become a key member of our growing administrative support team. You’ll play a critical role in supporting our CEO and Operations Manager, managing follow-ups, tracking action items, and helping the team stay aligned with daily priorities. You’ll be the go-to person to keep things running smoothly and on time.

We are looking for someone with proven experience in fast-paced administrative work—someone who is confident managing internal records, organizing client folders, scheduling sales and client calls, assisting with social media tasks, and working effectively within CRM and ATS platforms.

This is a part-time to full-time role (20–40 hours/week), and full availability between 8 AM and 5 PM CT is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Attend daily and weekly meetings: Participate in regular team meetings to discuss progress and updates on tasks.

  • Email management: Oversee and manage the CEO's google mailbox, ensuring timely responses, organization, and prioritization of important internal and client communications.

  • Records Keeping & GDrive Maintenance for both the CEO and the main organization Google Drive

  • Assist with scheduling meetings internally and externally and making sure they are not lost and team send follow-ups

    Thoroughly track tasks and make sure to send updates to leadership and admin on a daily basis.

  • CRM Management: Perform data entry and keep the CRM updated at all times.

  • Scheduling & Coordination: Schedule sales, partnership, and personal calls, ensuring smooth coordination and professionalism.

  • Data Entry: Input and track leads in the CRM

  • Research: Conduct a high level of research and present findings as required.

  • Client Folder Management: Create and organize digital client folders.

  • Attend to Other Administrative Tasks as Needed: Support the team with additional administrative tasks as they arise.


QUALIFICATIONS

  • Able to work 20 to 40 hours per week, available from 8 AM – 5 PM CT.

  • Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment

  • Proficient in Google Drive and G-Suite applications.

  • Experience with cloud-based storage systems.

  • Familiarity with ATS and CRM systems (GHL CRM experience is a plus).

  • Detail-oriented with strong data entry experience.

  • Excellent written communication skills in English (most client communication is via email, so strong writing is a must; verbal communication can be conversational)

  • Strong time management and calendar coordination abilities

  • Strong research skills and resourcefulness

  • Tech-savvy, with a reliable internet connection and a working computer
