Job description

As an HR Operations Specialist you will play a key role in supporting employees and managers across the organization by handling a variety of HR processes within a fast-paced service center environment. You will be responsible for managing Leave of Absence (LOA) requests, Workers' Compensation (WC) cases, Tier 1 Employee Relations (ER) inquiries, onboarding and offboarding processes, compliance audits, and HR projects. The HR Operations Specialist ensures smooth HR operations while delivering excellent service to employees and managers.

Specific duties include, but are not limited to: 

Employee Lifecycle Management:

  • Oversee onboarding and offboarding processes, ensuring all required documentation, system updates, and compliance requirements are met.
  • Act as the primary point of contact for new hires, providing guidance on policies, benefits, and company culture.
  • Coordinate with IT and facilities teams to ensure seamless setup and deactivation of employee access and equipment.

Leave of Absence (LOA) & Workers' Compensation (WC):

  • Process and track LOA requests, ensuring compliance with company policies and federal/state regulations (FMLA, ADA, PDL, etc.).
  • Serve as a liaison between employees, managers, and third-party administrators for leave-related inquiries.
  • Support Workers' Compensation case management by coordinating with employees, insurance carriers, and internal stakeholders to ensure timely claim processing and return-to-work plans.

Employee Relations (Tier 1):

  • Provide first-level support for HR-related inquiries, including policy interpretation, workplace concerns, and basic conflict resolution.
  • Escalate complex employee relations matters to HR Business Partners or the appropriate internal teams.
  • Maintain accurate documentation of employee interactions and case resolutions.

Compliance & Audits:

  • Assist in HR compliance audits, ensuring adherence to federal, state, and local employment laws.
  • Maintain accurate and confidential employee records in HRIS and document management systems.
  • Support HR policy updates and ensure consistent application across all locations.

Projects & Process Improvement:

  • Participate in HR projects, including process improvements, system enhancements, and employee experience initiatives.
  • Identify opportunities to streamline HR operations and enhance service delivery.
  • Assist in training managers and employees on HR processes and best practices.

General Manager Support:

  • Provide HR guidance to managers on routine matters, including performance management, policy interpretation, and workplace concerns.
  • Support HR initiatives that enhance manager effectiveness and team engagement.
  • Serve as a trusted resource to help managers navigate employee issues within HR guidelines.

Position Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred. Equivalent work experience will be considered.
  • 2+ years in HR operations, shared services, or a similar role within a service center environment.
  • Proficiency in HRIS (e.g., Workday, SAP, or UKG), case management systems, and Microsoft Office Suite.
  • Familiarity with LOA regulations (FMLA, ADA, PDL), Workers' Compensation laws, and HR best practices.
  • Strong problem-solving ability, excellent communication skills, and a high level of attention to detail.
  • Ability to provide a positive employee experience while balancing business needs.
  • Comfortable working in a fast-paced environment with evolving priorities.

Physical Requirements:

The employee may be exposed to outside weather conditions during transport of patients if working on a mobile unit. The employee will be exposed to a strong magnetic field. May be exposed to blood/body fluids and infectious disease, communicable disease when interacting with patients, environmental hazards such as exposure to noise, and travel. 

More than 50% of the time:

  • Sit, stand, walk.

  • Repetitive movement of hands, arms and legs.

  • See, speak and hear to be able to communicate with patients.

Less than 50% of the time:

  • Stoop, kneel or crawl.

  • Climb and balance.

  • Carry and lift (ability to move non-ambulatory patients from a sitting or lying position for transfer or to exam).
