Location: Fully Remote (Philippines)

Schedule: EST (with required overlap during the company working hours)

Salary: $2,000 - $2,500 USD/month

A dynamic real estate team dedicated to transforming the home-buying experience is seeking an organized, detail-oriented, and tech-savvy Political Engagement Admin. This role is ideal for someone who thrives in a structured environment, has exceptional attention to detail, and excels in using modern tools like AI platforms and Smartsheet to streamline workflows and enhance productivity.

Key Responsibilities

Calendar Management & Coordination

  • Maintain and organize the owner’s calendar with precision.
  • Coordinate meetings across multiple stakeholders and teams.
  • Anticipate scheduling conflicts and proactively find resolutions.
  • Ensure reminders, prep materials, and follow-ups are always in place.

Data Input & Spreadsheet Management

  • Create, update, and maintain organized spreadsheets for tracking contacts,projects, and tasks.
  • Ensure data integrity and consistent formatting for easy access and analysis

Smartsheet Oversight

  • Utilize Smartsheet to organize workflows, timelines, and task lists.
  • Build and maintain dashboards, automations, and collaborative tracking systems.

Relationship & Event Tracking

  • Research and input potential relationships (individuals, organizations, collaborators) relevant to the business.
  • Track upcoming events, conferences, and opportunities for strategic involvement.
  • Maintain a living document of networking, partnerships, and outreach efforts.

AI-Enhanced Productivity

  • Use AI tools to assist with summarizing notes, drafting communications, automating workflows, and identifying improvements to existing processes.
  • Stay up-to-date with AI trends and tools that can support administrative efficiency.

Executive Support & Accountability

  • Keep the owner on track with tasks, deadlines, and commitments.
  • Provide gentle reminders and summaries to ensure nothingfalls through the cracks.
  • Anticipate needs and solve problems before they arise.

Requirements

  • 3+ years of administrative or executive assistant experience (remote/offshore experience a plus).
  • Expert-level proficiency inSmartsheetand spreadsheet tools (Google Sheets,Excel).
  • Strong working knowledge of AI tools such as ChatGPT, Notion AI, etc.
  • Excellent communication and interpersonal skills
  • Impeccable organizational skills with an ability to manage multiple priorities.
  • Self-starter with a proactive mindset and high level of integrity.
  • Ability to work independently and adjust to changing priorities quickly.

Nice to Have:

  • Experience supporting founders, executives, or entrepreneurs.
  • Familiarity with CRMs, event planning tools, and project management platforms.
  • Background in startups or fast-paced, collaborative environments.
