The Sr. Service Coordinator assists with preparing and coordinating the development and implementation of energy storage projects and associated service team supporting requirements, which will involve establishing and maintaining project management and procurement processes such as, Risk Assessment and Method Statement creation and tracking, health and safety regulations/qualifications tracker, calibration register, logistics interface, Spare Parts register/tracker, work orders, purchase orders and assisting with invoicing. Knowledge of energy storage systems, project management processes, construction management processes, CMMS, and battery system applications would be highly desirable. Experience with project execution processes is essential.

Responsibilities:

  • Develop integrated schedules and establish baseline schedules and/or logistics with the Service Team for various BESS projects and their different stages as appropriate: Procurement, Commissioning, Operations, and Maintenance.

  • Design, create, and maintain detailed trackers, ensuring accuracy and integrity of data.

  • Handle sophisticated Excel data analysis tasks; complex functions and formulas, PivotTables, macros, and conditional formatting to create comprehensive reports.

  • Develop, maintain, and audit trackers for parts, site tools and technician tools.

  • Onboard new technicians, new contractors, and new vendors.

  • Responsible for working with service team management, legal and contract companies to build and submit MSAs, CRFs, and Work Orders to drive them through the approval process.

  • Review and process invoices from vendors and contractors as well as track them in budget format to maintain cost objectives.

  • Identify the critical path required to achieve a given task and manage it until completion (self- starter, autonomous).

  • Oversee Time Management for Field Services: labor allocation and tracking (timecards), field assignments, fleet schedule (Service techs/ contractors, etc.)

  • Vendor Management: cost estimates, reporting, project allocation, trackers.

  • Review and verify documents for completeness, format, and compliance.

  • Gather required documents to submit purchase requests and collaborate with Procurement until purchase order completion.

  • Track ordering process and receipts of goods in the field.

  • When requested, work with various departments in obtaining reports, pulling together data and validating project spend.

  • Work closely and establish strong relationships with corporate support functions including Legal, Procurement, Project Management, Human Resources, and Payroll to ensure compliance with required regulatory requirements.

  • Adhere to all health and safety rules and procedures.

  • Complete other duties and projects as assigned.

Qualifications and Experience:

  • Bachelors degree or diploma in a related technical discipline from a university or college.

  • Minimum 2+ years of relevant experience or equivalent combination of education and experience.

  • Must have renewables experience or a service background.

  • Solid and effective interpersonal and communication skills (including oral, written, and visual).

  • Strong organizational and time management skills; Acute awareness and ability to manage deadlines.

  • Technical proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.

  • AdvancedExcel skills are required.

  • Expert experience with Scheduling in MS Projects (P6 would be an asset).

  • Accuracy and attention to detail are a must.

  • Ability to establish and maintain effective working relationships internally and externally.

  • Demonstrated independent thinking, initiative, and creativity.

  • Ability to function successfully both independently and within a team.

  • Demonstrated professional appearance and conduct.

  • Ability to work flexible hours (evenings, weekends) as required.

  • Valid Driver’s license, valid insurance, and access to a reliable vehicle.

  • Some travel to project sites may be required.
