Work Schedule:
Monday - Friday, 8:00 AM to 5:00 PM (EST)

About the Company:

Position Overview:

The Executive & Personal Assistant (EA/PA) will serve as a key coordinator across professional and personal areas, ensuring smooth communication and workflow between the client, their in-person assistant, executive team, and other stakeholders. The ideal candidate is proactive, detail-oriented, and comfortable handling a mix of business and personal tasks with discretion.

Key Responsibilities:

  • Executive & Personal Support: Manage complex scheduling, inbox management, travel arrangements, and administrative tasks while balancing professional and personal responsibilities.
  • Primary Point of Contact: Facilitate communication between the client, their in-person assistant, executive assistant, and other key stakeholders.
  • Communication Management: Draft, proofread, and coordinate professional correspondence, ensuring clarity and alignment with executive needs.
  • Project Coordination: Oversee and assist with multiple projects, ensuring priorities, deliverables, and deadlines are met.
  • Process Optimization: Implement and refine workflows, leveraging tools like Monday.com to enhance efficiency.
  • Stakeholder Coordination: Act as a liaison between executives, team members, and external contacts.
  • Proactive Problem-Solving: Anticipate needs, identify challenges, and provide well-thought-out solutions.
  • Information & Document Management: Maintain and organize key reports, databases, and confidential records.


Qualifications:

  • Proven experience as an Executive & Personal Assistant in a fast-paced, high-performance environment (finance, consulting, tech, or professional services preferred).
  • Experience supporting C-suite executives, entrepreneurs, or business leaders.
  • Exceptional communication skills (written and verbal), with the ability to interact professionally with senior stakeholders and clients.
  • Highly organized, detail-oriented, and capable of managing multiple tasks efficiently.
  • Strong business acumen and sound judgment in handling executive and personal priorities.
  • Tech-savvy and adaptable, with proficiency in tools like Monday.com, Google Workspace, Slack, and other collaboration platforms.
  • Familiarity with project management tools and experience optimizing workflows.
  • Strong written communication skills, with the ability to craft polished, professional emails and reports.
  • Discretion and professionalism, with a strong understanding of confidentiality in executive operations.

  • Advanced proficiency in workflow automation and productivity tools.
