Payroll Coordinator - Reporting to Senior Payroll Specialist - Finance

Location: Remote - This position can be fully remote or hybrid near Mitacs offices in Ottawa, Montreal, Toronto or Vancouver.

 

POSITION SUMMARY:

 

We are seeking a detail-oriented and highly organized Payroll Coordinator to join our team. This role is responsible for the accurate and timely preparation and processing of payroll in compliance with employment agreements and Canada Revenue Agency (CRA) regulations. The successful candidate will assist with payroll reconciliation, reporting, and compliance, while ensuring seamless coordination between payroll and other departments.

 

KEY RESPONSIBILITIES:

 

PAYROLL & COMPLIANCE REPORTING

·       Prepare and process accurate and timely payrolls using Ceridian/Dayforce in compliance with employment agreements and CRA guidelines.

·       Maintain payroll database integrity, ensuring compliance with established procedures and internal controls.

·       Assist with month-end, quarter-end, and year-end reconciliations, working papers, analysis, and reporting.

·       Support the preparation of year-end reporting, including T4A’s, T4’s, T4 summaries, RL-1’s, RL-1 summaries, and T2200s as required.

·       Address and resolve employee and payroll system issues, working closely with Human Resources.

·       Respond to inquiries and requests from internal and external stakeholders regarding payroll matters.

·       Prepare and record payroll expenses and allocations in the accounting system.

·       Assist with the accurate and timely reconciliation and reporting of payroll-related government remittances.

·       Ensure compliance with relevant legislation, company policies, and procedures.

·       Maintain an organized and orderly payroll and accounting filing system.

·       Support other ad hoc duties and payroll-related projects as required.

 

PROCESS IMPROVEMENTS

·       Identify and assess areas for process improvements and efficient workflows while ensuring adequate internal controls for company oversight

·       Document new and updated processes

 

AUDIT

·       Prepare relevant working papers and schedules for the payroll function

·       Field questions and requests from auditors in conjunction with Senior Payroll Specialist

 

STAKEHOLDER RELATIONS:

·       Respond to queries and exception requests from internal and external stakeholders. 

 

OTHER:

·       Comfortable in taking on tasks beyond formal job responsibilities. 

·       Support the Senior Payroll Specialist – Finance on ad-hoc requests as needed.

 

 

EXPERIENCE

 

·       Experience in payroll processing, preferably in a Canadian corporate environment.

·       Strong knowledge of CRA guidelines and payroll-related compliance regulations.

·       Proficiency in payroll and accounting software preferably Ceridian/Dayforce

·       PCP Accreditation complete or in progress

·       Excellent attention to detail and ability to work with confidential information.

·       Strong analytical, problem-solving, and organizational skills.

·       Ability to communicate effectively and professionally with employees and stakeholders.

·       Solid knowledge of current payroll practices and technologies.

·       Maintain accuracy and confidentiality in managing operational and financial information.

·       Knowledge of written and spoken English is required in this role as you will interact with colleagues, clients and stakeholders located across Canada.

 

Hiring Range: $50,320 - $56,240

The salary range refers to the range of base salaries for a given position, encompassing the minimum and maximum amounts. The midpoint of the range is positioned approximately halfway between the minimum and maximum, indicating a fully qualified employee with comprehensive job knowledge and experience for the role.

Only in rare and exceptional circumstances, where a candidate has the experience, skills, and expertise that far exceed those required for the position, would we consider paying above the hiring range for this role.
