JOB DESCRIPTION:
Seeking a motivated and detail-oriented Event Outreach Coordinator to join our company. This role will be instrumental in executing the Company’s Six Outreach Plan, focusing on event promotion, attendee follow-up, and outbound sales calls. The ideal candidate will have excellent communication skills, be highly organized, and have a passion for building relationships and driving sales.
ROLE & RESPONSIBILITIES:
Event Promotion
Call all ~1200 contacts in the database to remind them of upcoming events and encourage them to register and attend.
Offer assistance with event registration for contacts who have not registered.
NOTE: 1200 contacts are not meant to be contacted in just one day. This number represents the total number of clients on the list that should be contacted before the event.
Post Event Follow-up
Contact attendees from the previous week’s event to thank them for attending.
Remind attendees of the overall benefits of the group.
Assist attendees with contact information they need for people they met at the event.
Invite satisfied attendees to upcoming Members Luncheons.
Suggest meetings with senior representatives for interested attendees and provide names to the Company.
Outbound Sales Calls:
Make outbound calls to new contact lists provided by the Company.
Share high-level details about the group and invite new contacts to upcoming events such as Happy Hours.
Periodically call the “1200” contacts to remind them about upcoming events like seminars, adventures, or symposiums.
Database Management:
Maintain accurate records of calls and interactions in the database.
Update contact information and ensure all interactions are logged.
Collaboration:
Work closely with the Call Center team to ensure consistent communication and follow-up with contacts.
Coordinate with the company to receive updated contact lists and event information.
JOB REQUIREMENTS:
Education & Experience:
Bachelor’s degree in Business, Marketing, Communications, or a related field preferred.
Proven experience in sales, customer service, or a related role.
Skills:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in using CRM software (e.g., Zoho) and Microsoft Office Suite.
Ability to work independently and as part of a team.
