As a Contract and Operations Assistant, you will be responsible for reviewing, drafting, and tracking various legal agreements, including amendments. In this role, you will collaborate closely with business unit leaders and the project management team, playing a pivotal role in ensuring project contracts are completed on schedule. Additionally, you will ensure that our service contracts, such as those related to insurance and employee benefits, are transparent, traceable, and well-organized. Your duties will include overseeing the signing of contracts, delivering them to clients, and archiving and organizing documents. Occasionally, you will need to handle smaller organizational and support tasks, such as arranging internal and external meetings and writing memos.

Job Description

Key Responsibilities

  • Oversee and administer the entire contracting process lifecycle from initiation to closure
  • Monitor and manage contract amendments
  • Review and understand legal documents, identify and assess potential risks, and consult with external lawyers when necessary
  • Collaborate with project managers and business unit leaders to ensure the prompt and efficient finalization of contracts
  • Handle signing, and manage digital and physical copies
  • Create and maintain internal records of active, ongoing, and closed agreements.
  • Provide reports based on internal records as requested

Administer operational tasks

  • Organize relevant meetings and discussions, and book meeting rooms
  • Participate in meetings if necessary, write and distribute memos

Qualifications

Requirements

  • Higher education degree (Legal assistant qualification and experience is a plus)
  • Minimum 3 years of experience in a similar role and business field
  • Proficient in drafting, reviewing, and managing IT supplier agreements and overseeing the contractual process
  • Fluent in English, both spoken and written 
  • Excellent organizational, communication, and interpersonal skills
  • Strong attention to detail and a commitment to high-quality work
  • Advanced analytical and problem-solving abilities
  • Experienced with tools necessary for contract management (MS Office suite, Google Workspace, online legal databases)
  • Highly self-motivated, able to work independently as well as in a team
  • Reliable business judgment and a proactive, independent work style
