Friends of the Boundary Waters (Friends) is seeking a detail-oriented and proactive Administrative Coordinator to support our growing organization and to help ensure the smooth operation of our daily activities. This position will support the work of the Operations Director and will be responsible for accounts payable, office equipment and supplies, working with our contracted IT provider, and other administrative tasks. This work is vital to the successful delivery of Friends' mission, and we are looking for someone who is passionate about creating strong administrative systems that support strong programs.
Primary Relationships
Reports directly to the Operations Director.
Works effectively with other departments within the Friends, including Development, Policy, Communications, and Education on projects as needed.
Responsibilities
Manage office equipment including the printer, postage meter, and phone system
Maintain inventory of and order office supplies
Act as the liaison to office building management, administering key cards and submitting maintenance requests
Organize and maintain electronic files
Collect and sort incoming mail
Code and pay invoices
Code expenses and work with the Operations Director to approve
Process employee reimbursements
Collect and file vendor W9s
Create and send invoices
Create and send non-donation receipts
Assist the Operations Director with grant reimbursement requests
Assist in providing documents for the annual audit
Act as the liaison to the IT vendor
Order IT hardware as needed for staff
Manage software accounts (i.e. Zoom, Adobe, Microsoft 365)
Act as a backup to the Operations Director on payroll
Qualifications
3-5 years' experience in an administrative role
Excellent organizational skills and attention to detail
Strong written and verbal communication skills
Excellent time management skills and an ability to multi-task and prioritize work
Good judgment and problem-solving skills
Ability to adapt and be flexible
Proficiency in Microsoft Word, Excel and Google applications
Ability to work independently and as part of a team
Passion for preserving the Boundary Waters Canoe Area Wilderness and its ecosystem
Compensation And Benefits
$50,000 - $55,000 per year
Paid vacation and sick leave, health and dental insurance, and a 403(b)-retirement plan.
In addition to paid vacation and sick leave, Friends provides a $600 stipend and five additional paid vacation days to each employee to take time off and recharge in the Boundary Waters.
