Work Schedule: Monday - Friday, 9:00 AM to 5:00 PM (EST)

Position Overview:

Were looking for an Executive Assistant who can serve as the operational backbone of our leadership team. This role goes far beyond scheduling -- it's about creating structure, removing friction, and proactively driving efficiency in a high-stakes, high-speed startup environment. You'll be the right hand to our leadership, freeing up their time to focus on big-picture strategy and growth.

Key Responsibilities:

Own and optimize the executive calendar using Motion.
Manage inboxes, draft communications, and triage priorities.
Conduct in-depth research and prepare briefing documents.
Build, document, and maintain operational systems and SOPs.
Track priorities, manage follow-ups, and ensure nothing falls through the cracks.
Step in to assist with recruiting logistics and project coordination.
Support internal and external communications with high clarity and professionalism.
Pitch in on presentations, internal reports, or event coordination when needed.

Qualifications:

2+ years of experience as an Executive Assistant or in a similar high-responsibility support role.
Advanced proficiency with Motion, Google Workspace (or Microsoft Office), and AI tools like ChatGPT or Claude.
Excellent written and verbal English communication skills.
Strong organizational and documentation skills.
Self-starter with a proactive mindset and a bias for action.
Demonstrated ability to juggle multiple priorities and adapt quickly in fast-changing environments.
Experience building systems and processes from scratch.
Open to candidates who do not have direct Athena experience but bring comparable executive support skills and relevant training.
