ACCOUNTING SPECIALIST 

Location: Remote, within the United States

Status: Part-time, temporary

Compensation: $23 per hour 

Schedule: 25 hours per week

POSITION SUMMARY 

The primary responsibility of the Accounting Specialist is Accounts Payable, with a secondary focus on additional administrative tasks. The Accounting Specialist will play a key role in ensuring financial accuracy, transparency, and timely reporting across various projects, working closely with team members and leadership to manage day-to-day financial activities, while also helping to refine and enhance accounting processes as we scale. The ideal candidate will have hands on experience with payment platforms such as PayPal, Bill.com, and QuickBooks Online, as well as proficiency in Excel and Google Sheets for financial tracking and reporting.

Note: This is a temporary position that may evolve based on business needs.

 

KEY RESPONSIBILITIES 

  • Expense Tracking: Monitor, analyze, and report project-related expenses including staffing costs and corporate card transactions.
  • Accounts Receivable: Prepare and issue client invoices; track payments, close out funded projects, and resolve discrepancies in coordination with staff.
  • Accounts Payable: Generate payment reports, ensuring accuracy in billing details such as tasks or hourly rates; resolve issues prior to submitting finalized reports to the Project Accounting Manager.
  • Reconciliation: Investigate and resolve discrepancies by cross-referencing data from multiple sources; ensure consistency across accounts.
  • Data Management: Consolidate data for accounts payable and receivable from diverse sources in an organized and accurate manner.
  • Record Keeping: Maintain clear and comprehensive financial documentation, including invoices, backup spreadsheets, payment reports, and related financial records.
  • Reporting: Assist with financial and project-based reporting, including revenue and expense reports for leadership and operations teams.
  • Communication: Actively participate in team discussions; escalate inconsistencies or urgent matters to the supervisor promptly.
  • Collaboration: Work collaboratively with finance and project teams, contributing ideas for continuous improvement and adapting to changing priorities.
  • Other duties as assigned to support the finance department.

QUALIFICATIONS & SKILLS 

  • Education: Bachelor’s degree in Accounting, Finance, or a related field is preferred; candidates with 2+ years of relevant experience will also be considered.
  • Demonstrated experience in accounts receivable, accounts payable, and financial data entry.
  • Solid understanding of accounting principles and best practices in financial data management.
  • Proficiency with accounting software (e.g., QuickBooks) and spreadsheet tools (Excel, Google Sheets).
  • Familiarity with Google Suite tools preferred.
  • Exceptional attention to detail and strong organizational skills.
  • Clear, professional communication skills with the ability to collaborate across diverse teams.
  • Comfortable working independently as well as part of a team.
  • Experience in multicultural or international work environments is a plus.
  • Strong written and verbal English communication skills.


PHYSICAL REQUIREMENTS

  • This is a remote position, however, it may require in-office attendance for designated meetings, training sessions, and occasional travel to other worksites as needed.  
  • The role routinely uses standard office equipment such as computers, phones, filing cabinets, etc.  
  • Strong visual acuity for reviewing detailed documents and data on computer screens.
  • Manual dexterity for operating a computer, including the use of a keyboard and mouse. 
  • Occasionally required to lift and carry office supplies or equipment up to 25 pounds. 
  • Clear verbal and written communication skills for effective interaction with team members across the organization
  • Flexibility to adjust schedules based on project needs, with occasional requests for additional hours during temporary projects.  
  • Capability to manage tasks that require prolonged periods of focus and concentration. 
  • Ability to handle the physical demands of a standard workweek, which may include occasional overtime, nights, weekends, and holidays, if needed.
