Job description

Online Business Manager (OBM) - Part-Time (20 hrs/week)

Salary: 1000 AUD/month (paid bimonthly)

Location: Remote (Must work within AWST time zone)

Hours: 20 hours per week, Monday to Friday between 8am-5pm AWST, with occasional weekend availability for project launches or special events

About The Role

We are a growing business with great systems and a strong lead flow—but we’re seeking a strategic, detail-oriented Online Business Manager (OBM) to help us bridge the gap between leads and conversions. Our team is time-poor and focused on high-level strategy, so we need someone who thrives in execution, takes initiative, and can manage both the operations and the tech backend with confidence.

You’ll play a critical role in ensuring our daily operations run smoothly, our team stays on track, and our directors can remain focused on big-picture growth. This is a high-responsibility role requiring someone who brings both structure and creativity to the table.

Key Responsibilities

  • Manage day-to-day team operations and ensure timely task execution
  • Take ownership of project management and prompt directors as needed
  • Track and follow up on all tasks and deliverables using our project management system
  • Create and maintain SOPs for recurring processes
  • Coordinate client communication and manage inbox correspondence
  • Organise calendars, schedule meetings, and plan retreat logistics
  • Manage and edit podcast episodes, including show notes and scheduling
  • Upload Zoom calls and lesson content to Skool
  • Oversee client memberships, payments, and manage discount codes
  • Engage on social media and manage email sequences in ActiveCampaign/ConvertKit
  • Troubleshoot tech issues and manage tools such as Squarespace, ManyChat, Thrivecart, and Airtable
  • Provide data analysis support—particularly through Excel—with a keen eye for improving reporting and insights
  • Support copywriting and basic graphic design tasks
  • Maintain open and timely communication, especially around project delays

Qualifications

  • A-Type personality with exceptional attention to detail and accuracy
  • Self-starter who takes full ownership of their role without needing follow-ups
  • Proven experience in team and project management
  • Comfortable analysing and interpreting business data to support strategy
  • Skilled in copywriting, basic graphic design, and video editing
  • Tech-savvy and comfortable learning new tools and platforms
  • Deep understanding of foundational marketing concepts
  • Highly proactive, organized, and driven by continuous improvement

Tools

  • Project & File Management: Airtable, Slack, Google Drive, Zoom
  • Marketing & Content: Squarespace, ManyChat, Thrivecart, Buzzsprout, ConvertKit, ActiveCampaign
  • Communication & Learning Platforms: Skool
  • AI & Automation: ChatGPT
