Job description

Overview

We are seeking a detail-oriented and highly organised Virtual Assistant & Business Support Coordinator to help establish and manage our business structure. The ideal candidate will take ownership of our CRM development, workflow organisation, social media management, and administrative support. This role will evolve over time, growing into a key position that supports business operations, client follow-ups, and marketing efforts.

  • Compensation: 540 AUD/month (paid bimonthly)
  • Schedule: 24hrs/week Monday-Friday within Sydney Business Hours
  • Location: Remote

Key Responsibilities

Operational & Admin Support

  • Set up and maintain a CRM system for client tracking and project management.
  • Organise and manage workflow processes, ensuring consistency in project follow-ups and scheduling.
  • Assist with client data compilation and record-keeping for past and current projects.
  • Schedule and coordinate the day-to-day workflow, ensuring the business operates smoothly.
  • Support with variation requests, quote follow-ups, and calendar management.
  • Provide research support, particularly in market trends and local promotion opportunities.
  • Assist with Microsoft Project for job timelines and trade scheduling.

Marketing & Social Media Management

  • Manage and update Facebook, Instagram, and LinkedIn pages with engaging content.
  • Research and schedule posts, monitor engagement, and report on performance.
  • Assist with website content updates, light editing, and blog posting.
  • Write and schedule email marketing campaigns to maintain client relationships.
  • Work on branding initiatives and implement content strategies for improved online presence.
  • Support SEO efforts by updating website content with keyword-rich information.

Long-Term Growth & Development

  • Act as a business development support assistant, helping with lead follow-ups and client engagement.
  • Work towards implementing a structured quoting and invoicing system.
  • Support the integration of automation tools to improve efficiency.
  • Take part in relevant training courses to enhance skills and grow within the company.

Required Skills & Qualifications

  • Strong IT foundation, comfortable with Microsoft Suite (Word, Excel, Project).
  • Highly organised with excellent attention to detail.
  • Experience managing CRM systems and workflow tracking.
  • Solid research skills, particularly in marketing and business development.
  • Ability to manage and grow social media platforms (Facebook, Instagram, LinkedIn).
  • Website content management experience (basic updates, blog posting, SEO knowledge).
  • Strong communication and writing skills for professional emails, social media, and marketing.
  • Proactive mindset, able to take initiative and work independently.

Preferred Skills

  • Experience with Microsoft Project or a willingness to learn quickly.
  • Background in marketing, branding, or social media strategy.
  • Familiarity with automation tools for scheduling and workflow management.
  • Interest in business development and client relationship management.

The Candidate Must Be Proficient In The Following Tools

  • Microsoft Excel and Word, Microsoft Project, Hubsport or similar CRM, Wordpress, Later or Buffer, Googlre Drive, Dropbox
