Job description

This is a remote position.

Schedule:  40 hours per week, Monday to Friday, 8:30 AM to 5:00 PM with a 30-minute unpaid lunch break, Los Gatos, CA Time

Position Summary:

The Workers’ Compensation New Patient Coordinator is responsible for managing new patient referrals and ensuring the timely and accurate onboarding of workers’ compensation patients. This role is essential in maintaining an efficient workflow and supporting patient access to care.

 

Responsibilities:

  • Manage approximately 10 new workers' compensation referrals per week.

  • Obtain all necessary information to create a patient chart in Tebra within one business day of receiving the referral.

  • Enter complete and accurate patient information into the New Patient Tracker, ensuring all required columns are filled.

  • Obtain an authorization and all necessary documentation within five business days of receiving the referral.

  • Communicate promptly and clearly with the New Patient Scheduler once authorization has been obtained to proceed with scheduling.

  • Respond to all incoming emails and answer phone calls in a timely and professional manner; responsiveness is critical in this role.

Additional Duties During Downtime:

  • Following up on pending determinations.

  • Confirm that the claim remains active and open with the insurance company.

  • Verify accepted body parts as listed in the workers’ compensation claim with the appropriate insurance representative.


Requirements
  • HMO and PPO or insurance experience is a plus.
  • Must have experience in the medical field or healthcare industry.
  • Good communication is the key to success.
  • Excellent customer service skills
  • Strong organizational and time management abilities
  • Ability to work independently and remotely
  • Proficiency in Microsoft Teams
  • Experience with Jot Forms or similar software is preferred, but not required
