Salary Range: up to 4000 USD

Work Schedule: Monday - Friday, 9:00 AM to 5:00 PM (EST)

Position Overview:

Were looking for a strategic and solutions-oriented Chief of Staff to serve as the operational backbone of a fast-moving business. This role goes beyond admin; it's about managing complexity, owning outcomes, and enabling the CEO to focus on high-leverage work. You'll oversee core functions across Sales, Marketing, and Operations, while ensuring priorities are executed smoothly and systems are running at peak performance. You must have a strong command of English -- both written and spoken, with the ability to communicate nuance, tone, and executive-level clarity.

Key Responsibilities:

Own daily operations across the business: sales tools, marketing campaigns, and team logistics.
Maintain and optimize platforms such as Pipedrive, Google Drive, Descript, Otter, and Todoist.
Organize and summarize meetings using AI tools and drive follow-up execution.
Manage the CEO's calendar, prep meetings, and ensure seamless internal coordination.
Lead marketing execution: schedule social posts, manage platform activity, and maintain momentum across partnerships.
Track and coordinate media production for YouTube, Instagram, LinkedIn, and other platforms.
Build efficient systems and standard operating procedures (SOPs) to scale operations.
Deliver crisp, structured updates that highlight the project, task, deadlines, status, blockers, and potential solutions -- without unnecessary noise.
Act as a strategic thought partner: anticipating needs, surfacing insights, and helping the CEO make faster, better decisions.

Qualifications:

2+ years in a Chief of Staff, Executive Assistant, or strategic operations role.
Experience managing projects across Sales, Marketing, and Operations.
Highly organized, detail-oriented, and driven by accountability.
Exceptional communication skills in English: able to distill complex updates clearly and with strategic intent.
Proficiency with tools like Pipedrive, Todoist, Otter, Descript, ChatGPT, and Google Workspace.
Strong follow-through and ability to self-manage in a remote environment.
Comfort working alongside a CEO: proactively identifying what's important, and framing communication accordingly.

Nice-to-Haves:

Experience supporting founders, coaches, or entrepreneurial leaders.
Background in content marketing or social media execution.
Familiarity with remote teams, digital content workflows, or B2B services.
Ability to structure and write job requests for platforms like Upwork or Fiverr, and qualify those opportunities as additional support.
