Job description

This is a remote position.

Scope:

    • Monday to Friday, 8:30am to 4:30pm Minnesota time with a 30 minute paid break
    • Access to organization email systems and scheduling tools
    • Interaction with case managers, clinicians, and referring partners
    • Limited direct client interaction, primarily for scheduling and initial inquiries
    • Handle confidential client information and medical records
    • Support both mental health and housing program operations

Responsibilities:

  • Process and manage incoming referrals through website and other channels
  • Create and maintain organized client folders and documentation
  • Schedule and coordinate intake appointments between clients and program staff
  • Coordinate assessment meetings between clients and clinicians
  • Track and monitor assessment renewal dates (6-month and annual reviews)
  • Handle incoming calls and provide initial program information
  • Maintain email correspondence with clients, case managers, and referral sources
  • Update case managers on client needs and situations
  • Process and organize client documentation including assessments and release forms
  • Follow up with referring partners regarding client progress
  • Monitor assessment deadlines and renewals
  • Coordinate scheduling between clients, clinicians, and program managers

Requirements:

  • HIPAA compliance knowledge and strong understanding of client privacy rights
  • Excellent English communication skills, both written and verbal
  • Strong organizational and time management abilities
  • Professional phone manner and email etiquette
  • Experience with healthcare administrative procedures
  • Emotional intelligence and ability to handle sensitive situations
  • Experience with file management and documentation systems
  • Understanding of secondary trauma concepts
  • Ability to maintain strict confidentiality
  • Basic understanding of mental health and housing service coordination
