This is a remote position.

Schedule:
  • Mondays to Fridays, 9:00 am to 1:00 pm, Virginia, USA, Eastern Time
  • 20 hours per week

Job Description:

This exciting dual role combines professional bookkeeping responsibilities with administrative support for a thriving industrial services organization. You’ll be instrumental in managing financial operations while supporting the company’s digital transformation initiatives. Working directly with leadership and major enterprise clients, you’ll handle sophisticated financial processes including complex Excel-based invoicing, monthly reporting, and system modernization. This position offers the perfect blend of traditional bookkeeping expertise and forward-thinking process improvement, ideal for a detail-oriented professional seeking to make a significant impact in a stable, growing organization.


Responsibilities:
  • Execute daily bookkeeping operations using QuickBooks Pro, ensuring accurate transaction processing and reconciliation
  • Manage accounts payable and receivable processes with attention to detail and timeliness
  • Create and process sophisticated monthly invoices for major enterprise clients using advanced Excel functions
  • Generate comprehensive monthly financial reports and prepare documentation for external CPAs
  • Support the potential transition from QuickBooks Desktop to QuickBooks Online
  • Handle collections and follow up professionally on outstanding payments
  • Assist with administrative tasks including travel arrangements when needed
  • Maintain organized financial documentation and records
  • Collaborate with leadership team on process improvement initiatives



Requirements
  • Minimum 2-3 years of professional bookkeeping experience
  • Advanced proficiency in QuickBooks (Desktop version required, Online version a plus)
  • Expert-level Excel skills, including pivot tables and VLOOKUP functions
  • Strong experience with month-end closing procedures and financial reporting
  • Excellent written and verbal communication skills in English
  • Proven ability to maintain confidentiality and handle sensitive financial information
  • Detail-oriented mindset with strong organizational capabilities
  • Experience with financial system transitions preferred
  • Ability to work US Eastern Time zone hours (9:00 AM - 1:00 PM EST)
  • Professional demeanor and ability to interact with enterprise-level clients
  • Self-motivated with excellent time management skills
